·  Maintain an annual event roadmap covering dates, audiences, costs, deadlines, sponsorships, exhibitor requirements, and recommended participation.

·  Track calls for papers and coordinate abstracts, speaker applications, biographies, headshots, session details, presentation materials, travel, and organizer communications.

·  Coordinate speaking engagements for Alias leadership, engineers, and other subject-matter experts, ensuring deadlines and requirements are met.

·  Support SECCON planning, including speakers, sponsors, exhibitors, registration, volunteers, vendors, signage, schedules, and day-of operations.

·  Order, pack, ship, track, deliver, and stage conference materials so all assets arrive on time and are presentation-ready.

·  Coordinate return shipping or transportation, reconcile returned inventory, document missing or damaged items, and reset event kits for future use.

MARKETING & COMMUNITY ENGAGEMENT

·  Coordinate event promotion with leadership, marketing, engineering, and business-development teams.

·  Assist with social media, email, website content, signage, programs, presentations, sponsorship materials, photos, videos, and testimonials.

·  Build relationships with conference organizers, associations, schools, chambers, partners, sponsors, exhibitors, and community organizations.

·  Track attendance, leads, costs, engagement, outcomes, lessons learned, and follow-up actions.

REQUIRED QUALIFICATIONS

·  2 years of event, conference, trade show, corporate function, or community-program coordination experience.

·  Excellent organization, project management, communication, research, relationship-building, and follow-through skills.

·  Ability to manage multiple deadlines, solve problems calmly, and work professionally with executives, engineers, vendors, clients, and community partners.

·  Proficiency with Microsoft Outlook, Teams, Word, Excel, PowerPoint, and shared tracking systems.

·  Valid driver’s license, reliable transportation, ability to travel, and availability for occasional evenings or weekends.

·  Ability to lift and transport event materials weighing up to 30 pounds and remain active during events.

PREFERRED QUALIFICATIONS

·  Experience with speaker programs, call-for-papers submissions, sponsorships, exhibitors, registration platforms, CRM tools, email marketing, or social media.

·  Experience managing promotional inventory, booth materials, shipping, and return logistics.

·  Cybersecurity, technology, professional services, education, graphic design, photography, or video experience is a plus.

WHAT SUCCESS LOOKS LIKE

·  Alias selects high-value events, speakers are fully supported, and events are delivered professionally, on schedule, and within budget.
