Program and Operations Coordinator (Part-Time)

Organization: Pathways to Progress Alliance (PPA)

Location: Hybrid (One in-office day per week required, with additional in-person attendance for meetings, trainings, programs, and community events as needed.)

Pay: $22.00 to $25.00 per hour, depending on qualifications and experience

Schedule: Approximately 12 to 15 hours per week

Start Date: August 1, 2026

Position Type

This is a temporary, part-time position with an anticipated start date of August 1, 2026. The initial appointment is expected to continue through December 31, 2026, with the possibility of extension based on organizational needs and available funding.

About Pathways to Progress Alliance

Pathways to Progress Alliance (PPA) is a community-rooted nonprofit serving immigrant and refugee families, with a strong focus on African Diaspora communities in South King County and South Seattle. Our work includes family support, youth development, culturally responsive early learning, multilingual community engagement, healing-centered programming, and community-led events that strengthen belonging, connection, and opportunity.

Position Summary

We are seeking a highly organized, dependable, and proactive Program and Operations Coordinator to support the day-to-day coordination of our programs, community events, partnerships, outreach activities, and internal operations. This position works closely with the Executive Director and other team members to support program implementation, communication, logistics, documentation, and organizational operations.

Responsibilities

  • Coordinate workshops, trainings, family engagement activities, youth programs, and community events.
  • Manage calendars, timelines, registrations, attendance, reminders, and follow-up tasks.
  • Prepare materials and supplies for meetings, trainings, and events.
  • Communicate with participants, families, volunteers, facilitators, and community partners.
  • Coordinate event logistics, volunteer support, and day-of event operations.
  • Maintain internal trackers, shared files, planning documents, and organizational systems.
  • Schedule meetings, prepare agendas or notes, and track follow-up items.
  • Assist with outreach, flyers, announcements, and participant communications.
  • Maintain attendance records, documentation, and reporting materials.
  • Support administrative and operational tasks that help PPA's programs run effectively.

Qualifications

Required

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Self-motivated with the ability to work independently.
  • Experience in nonprofit, education, youth development, family support, or community-based organizations.
  • Experience working with immigrant and refugee communities, particularly African Diaspora communities.
  • Proficiency with Google Workspace (Google Docs, Sheets, Drive, Gmail).
  • Professional, respectful, and collaborative communication skills.

Preferred

  • Experience coordinating events, workshops, or trainings.
  • Experience working in multilingual or culturally specific community settings.
  • Familiarity with Somali, Oromo, Arabic, or other languages spoken by the communities we serve.
  • Experience supporting nonprofit operations, grant reporting, or program documentation.

Schedule Expectations

  • Approximately 12 to 15 hours per week.
  • One required in-office day each week.
  • Occasional evening or weekend availability for community events and trainings.
  • Attendance at required meetings and organizational events is expected.
  • Additional hours must be approved in advance.

Compensation and Benefits

  • $22.00 to $25.00 per hour, depending on qualifications and experience.
  • Paid sick leave in accordance with Washington State law.
