Job Title: Purchaser & Production Assistant
Location: Miami, FL (On-Site)
ALEXIS is seeking a highly organized, fast-thinking, and detail-obsessed Purchaser & Production Coordinator to join its high-performing Production Team at the company’s Miami headquarters.
This is a fast-paced, high-responsibility role for a resourceful individual with exceptional attention to detail, a problem-solving mindset, and the ability to thrive under extreme pressure and tight deadlines.
The ideal candidate is hands-on, solution-oriented, and unafraid to take initiative—even when the pressure is on.
This position reports directly to the Production Director and will support the production process across purchasing, vendor management, logistics coordination, and daily communication with global partners.
Key Responsibilities Include (but are not limited to):
- Place and manage all purchase orders for raw materials (trims and components)
- Track, follow up, and manage inbound shipments to ensure timely delivery of all materials to factories
- Maintain and update internal production trackers, calendars, and WIP logs with precision
- Support negotiations with suppliers and vendors to ensure optimal costs and delivery timelines
- Review invoices and shipping documents for accuracy; flag discrepancies to appropriate teams
- Communicate daily with international vendors, mills, and factories to resolve issues and keep production on schedule
- Coordinate sample and bulk approvals, working cross-functionally with design, product development and management.
- Anticipate production bottlenecks and escalate issues to the Production Director in real-time
- Maintain internal records of purchase orders, tracking numbers, invoices, and approvals
- Assist with troubleshooting quality, delivery, and vendor-related issues under pressure

- Minimum 3 years of experience in a purchasing or production-related role in fashion or textiles
- Exceptional attention to detail and accuracy in data entry, timelines, and communication
- Fast learner with a solutions-first mindset and strong ability to prioritize
- Tough-skinned and calm under pressure, with the ability to work through challenges independently
- Strong written and verbal communication skills; comfortable liaising with international vendors
- Advanced organizational and time-management skills; thrives in a deadline-driven environment
- Proficient in Microsoft Excel and Google Workspace
