Essential Functions:
Maintains the District’s Student Information System/MARSS Database
- Oversees Minnesota Automated Reporting Student System (MARSS) data input, updates and modifications; ensures reports are accurately produced and submitted on schedule. Verifies and analyzes student data.
- Develops, implements, and coordinates district building level procedures for student and census systems.
- Represents district interests and attends MARSS Coordinator Meetings.
- Provides software support to staff working with MARSS and trains on reporting requirements.
- Stays current with all state and federal student reporting requirements and adjusts internal processes accordingly.
- Assigns new MARSS ID numbers as needed; generates error reports and resolves errors; communicates and shares MARSS information upon request
- Maintains accurate transportation, special education, free/reduced lunch, and tuition records for students enrolled in special education programs, other public-school districts, non-public schools, and homeschool programs.
- Assists with enrollment projections by providing current and future MARSS recording and reporting guidelines for the team.
Serves as Alexandria Public Schools Central Enrollment Point of Contact
- Supports the districts' enrollment process including developing guidelines and procedures to comply with State and District requirements.
- Serves and the first point of contact for District and Non-District residents regarding school district related enrollment questions and boundaries.
- Provides for the efficient, welcoming, and family-friendly operation of the district enrollment center.
- Process enrollments for all students and ensure all requirements are met.
- Supports the annual enrollment process for Kindergarten registration under the direction of the Director of Communications.
- Coordinates and approves enrollment applications for students entering and departing the district within the established parameters.
- Maintains census and school attendance of all resident students.
- Establish and execute a process for timely notification of student enrollment updates to school secretaries/Principals to ensure ability to welcome properly and provide personal experience.
Finance and Payroll liaison to Runestone Area Education District (RAED)
- Coordinates finance system for RAED to include payroll, accounts payable and receivable; enter pay adjustments, leaves, pay deductions and retroactive pay; apply contract provisions per collective bargaining agreements; assist with creating and revising budgets; prepare financial reports for board meetings.
- Regularly reports back to regional Superintendents and RAED executive director and RAED board regarding financial details.
- Supports the annual audit in partnership with the Director of Business Services.
