Key Responsibilities
Program Administration & Support
- Manage daily administration of medical, dental, vision, HSA/FSA, life, disability, EAP, and voluntary benefits.
- Support and assist the Director with annual plan renewals, data requests, rate analysis, carrier deliverables, and strategic planning.
- Coordinate retirement program administration (401(k)) including documentation, audits, and operational accuracy.
- Oversee leave of absence processes (FMLA, ADA, state programs), ensuring accurate and compliant workflows.
- Maintain the annual benefits calendar, including key deadlines, notices, compliance filings, and audits.
Vendor Management & Compliance
- Serve as a day-to-day contact for carriers, brokers, TPAs, and technology partners.
- Assist the Director with vendor performance reviews, escalations, and SLA monitoring.
- Ensure compliance with ACA, ERISA, HIPAA, COBRA, FMLA, ADA, and applicable state/federal regulations.
- Support required annual filings (5500s, ACA reporting, RxDC, CMS Creditable Coverage).
Employee Support & Communication
- Provide guidance on complex employee escalations, claim issues, and eligibility questions.
- Develop and deliver benefits communications, guides, training, and FAQs.
- Lead Open Enrollment execution, including system testing, vendor coordination, communications, and reporting.
- Gather and analyze employee feedback and claims data to recommend operational improvements.
Systems, Data Integrity & Process Improvement
- Oversee benefits configuration and accuracy in the HRIS, ensuring eligibility, deductions, and life event workflows.
- Partner with Payroll and Finance on reconciliation, invoicing, cost modeling, and corrections.
- Maintain and enhance benefits dashboards, reporting, audits, and templates.
- Identify process gaps and implement solutions to streamline benefits operations.
Leadership & Collaboration
- Provide guidance and task direction to Benefits Specialists/Coordinators.
- Partner with HRBPs, Recruiting, Legal, Finance, and Operations on cross-functional needs.
- Contribute to M&A due diligence and integration activities under the direction of the Director.
Qualifications
Required
- Bachelor’s degree in HR, Business, or related field OR equivalent experience.
- 5 years of progressive benefits administration experience.
- Experience working with self-funded medical plans (operational, administrative, or vendor-side).
- Strong working knowledge of ACA, ERISA, HIPAA, COBRA, FMLA, ADA, and plan compliance requirements.
- Experience managing vendors and handling employee escalations.
- Strong analytical and communication skills.
- Proficiency with HRIS or benefits enrollment systems.
Preferred
- CEBS, SHRM-CP/SCP, PHR/SPHR, or similar certification.
- Strong experience with multi-state benefits, LOA programs, or high-volume environments.
- Experience with UKG (Benefits, HR, and system configuration preferred).
- Experience supporting plan renewals or working with brokers/carriers.
- Project management or process improvement background.
