We're looking for an Operations & Client Experience Coordinator to become that person.
This isn't an executive assistant position.
It isn't a traditional office coordinator role.
It's an opportunity to become one of the people who helps shape how our company operates every single day.
You'll work directly alongside our CEO and Creative Director to coordinate projects, care for our clients, improve our systems, and help build the operational foundation of a growing company.
No two days are exactly alike.
One morning you might be preparing agreements for new staging projects.
That afternoon you could be coordinating installation schedules, communicating with clients, confirming photographers, ordering client gifts, or helping improve one of our internal workflows.
You'll help keep projects moving while creating a client experience that's thoughtful, organized, and genuinely memorable.
Your responsibilities will include:
- Coordinating active staging projects from proposal through completion.
- Managing project schedules and timelines.
- Preparing agreements, invoices, and project documentation.
- Coordinating installations, photographers, movers, and vendors.
- Maintaining our CRM and project management systems.
- Communicating with clients throughout every stage of their project.
- Supporting thoughtful client experience initiatives, including welcome materials, milestone celebrations, and handwritten notes.
- Helping improve internal systems and operational processes.
- Supporting leadership so they can focus on growing the business.

You're equally comfortable organizing a spreadsheet, writing a professional email, solving an unexpected problem, or making a client feel genuinely cared for.

Experience in operations, project coordination, client services, hospitality, real estate, interior design, or small business operations is helpful, but not required.

Our typical schedule is Monday through Thursday, approximately 28-30 hours each week, with Fridays generally reserved as personal time unless business needs require otherwise.
