Job Summary
The Administrative Assistant role will grant expert operational and customer services to Aldenbrisge Napa customers, clients, and staff. The position provides a wide range of administrative duties to support the operations of the Warehouse and Motor Pool teams, including entering clients's orders, scheduling outbound pick-ups with carriers, data entering and maintenance of databases, receiving, processing, and dispatching inbound and outbound correspondence, directing incoming calls, filing and e-filing, managing vouchering, ordering and reception of supplies and similar clerical tasks as may be required.
Customer Service: The incumbent acts as Front Desk representative for clients and staff providing accurate and updated information and receiving, screening, and solving or redirecting inquiries. Communicates clearly and courteously. Interacts cooperatively and harmoniously working effectively as a team player to establish positive relationships.
Primary Job Duties
- Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders, and address complaints.
- Schedule outbound pick-ups with carriers.
- Enter client orders either manually or by computer.
- Answer telephones, direct calls, and take messages.
- Compile, copy, sort, and file records of office activities, business transactions, and other activities.
- Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.
- Compute, record, and proofread data and other information, such as records or reports.
- Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
- Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
- Review files, records, and other documents to obtain information to respond to requests.
- Deliver messages and run errands.
- Inventory and order materials, supplies, and services.
- Complete work schedules, manage calendars, and arrange appointments.
- Type, format, proofread, and edit correspondence and other documents, from notes or dictating machines, using computers or typewriters.
Education and/or Work Experience Requirements
- Minimum 1 years of experience in customer service, order processing, or similar role
Knowledge and Skills
- Google Workplace
- Office MS
- Intermediate Excel preferred
- Logistic or wine background a huge plus
