Your Valued Contributions:
The School Based Program Manager is responsible for school-based clinic operations management. The SBP Manager is responsible for oversight of all associated staff, fulfilling grant requirements, and outreach for programs serving the students of School Based Health Centers (SBHC) and School Wellness Programs (SWP).
- Responsible for providing clerical, administrative, and project support to the SBHC/SWP program and its medical providers.
- Serves as the liaison between the SBHC/SWP program and the school district to identify and refer students who can benefit from SBHC/SWP services. Maintains relationship with school superintendents, administrators and adheres to school policies.
- Attends school board meetings and present program information to the community.
- Create and lead an SBHC/SWP Community Advisory council to develop and implement strategies to promote health literacy in the school.
- Calls meetings of the Community Advisory Council of SBHC/SWP, updates Community Advisory Council on program development, budget status, and other activities; carries out tasks assigned by the council.
- Conducts outreach to and builds partnerships with students and families educating them on available resources associated with the SBHC/SWP.
- Prepares agenda, takes notes, and prepares minutes for SBHC/SWP meetings/conferences as assigned by the SBHC/SWP provider and required as part of the SBHC/SWP grant.
- Provide regular updates to all stakeholders through personal presentations and written reports.
- Ensure grant compliance clinically and administratively by maintaining and auditing workflows, templates and processes to ensure grant requirements and documentation is met.
- Maintain accreditation binders for each site and prepare for state visits.
- Data reporting and maintenance in state required websites and programs.
- CQI coordinator for grant and Organization QI/QA.
- Compile SBHC/SWP data and grant reports for internal review and distribution.
- Implements, tallies and compiles client satisfaction surveys.
- Organize, assist, and monitor in the development of SBHC/SWP policy and procedures.
- Updates program needs assessment, at a minimum every three years.
- Assures compliance with identified SBHC/SWP goals and objectives.
- Responsible for understanding and monitoring financial data and clinic expenses according to organizational and grant requirements. Monitors expenses and seeks additional grant opportunities.
- Manages all clinical SBHC and SWP sites and staff.
- Regularly travels to all school-based clinics and wellness sites throughout northern MI.
- Assigns and monitors duties and responsibilities to site employees. Responsible for hiring, development and performance management, corrective action coordination with Human Resources for all clinic staff.
- Adequately staffs clinic sites, coordinates coverage, or actively fills in for clinic absences of medical support or clerical support staff.
- Coaches, mentors and develops staff, including managing new employee onboarding to ensure employees are provided with the needed information, tools and resources to effectively meet job and organizational goals. Training includes state orientations and state update meetings.
- Evaluates clinic activities and conditions to ensure patient care, staff relations, and efficiency of service, including janitorial performance and site checks/walk throughs, and submits appropriate documentation and check lists.
- Acts as first point of contact for site providers to ensure important information is shared with management and others as appropriate to advance mutual understanding and cooperation.
- Ensures inventory and supplies are appropriately purchased, stocked, and used in the clinic.
- Ensures clinic site, including clinic equipment, is being properly maintained and equipment is replaced as appropriate. Responsible for site appearance and maintenance in coordination with AHC and CAHC guidelines.
- Investigates incident reports, including patient complaints, staff compliance, and job performance; takes appropriate corrective action when necessary.
- Identifies and evaluates training needs for staff training regarding clinical, clerical, software utilization, and grant requirements.
- Manages and prepares or delegates the task of reports necessary to carry out the functions of the site and comply with grant requirements.
- Review monthly financial reports, identifies, and understand variances, and participate in corrective action plans.
- Exercise discretion and strict confidentiality with all information including but not limited to sensitive personal information, and medical information.
- Attends job related in-service, meetings, and training to maintain professional and technical knowledges as directed.
- Attendance
- Ensures attendance and hours worked are accurately recorded.
- Properly manages paid vacation and sick leave.
- Responsible for regular, predictable attendance and to work hours as scheduled.
- Gathers and maintains data-related business documents and reports for upper management and State of Michigan officials.
- Liaises with government officials to represent and increase awareness of program.
- Accepts and performs other job-related duties, projects and responsibilities, as required.
Professional Knowledge
- Possesses general skills typically acquired during completion of a basic high school program, including written and verbal communications skills, computational and computer skills and mathematics.
- Possesses knowledge and training in the field of business and or/management, typically acquired through a formal Bachelor’s degree in business, public health, health services administration or equivalent is preferred.
- Possesses experience with grant funded programming strongly preferred.
- Possesses experience in a management role in a health care setting strongly preferred.
- Possesses a thorough understanding of the theory of the profession to determine “why” things are done.
Required Training & Experience:
- Possesses a current Basic Cardiac Life Support (BCLS) CPR.
- Possesses a current state of Michigan driver's license and valid automobile insurance.
- Use of Electronic Health Records.
- Proficiency with Microsoft Office suite of products.
