Your Valued Contributions:
This position is responsible for overseeing the overall management of multiple facilities in designated areas including financial management, risk management, quality assurance compliance, patient care management, and staff management. In collaboration with the Business Operations Director the Operations Manager provides leadership and direction to ensure safe, efficient, therapeutic and ethical patient care and positive staff relations.
- Operations of Clinical Sites:
- Provides oversight of assigned Alcona Health Center clinic sites, including directing, planning, organizing, supervising, and coordinating operations through Site Managers and Clinical Leads.
- Monitors and ensures the achievement of operational and clinical performance objectives across Alcona Health Center clinic sites. Supports site management to optimize staffing levels, appointment scheduling, workflows, policies, and procedures as necessary to accomplish these goals.
- Monitors daily appointment schedules to ensure productivity goals are achieved. Provide immediate feedback to the sites to maintain full schedules for the day. Educate and train all site managers on effective scheduling practices.
- Performs site assessments reviewing operational efficiency, workforce engagement, clinical services and patient care. Provides a detailed assessment report with recommendations for improvement. Collaborate with other departments to implement changes.
- Responsible for ensuring excellent patient experience and that patient complaints and grievances are addressed and resolved in a timely and responsive manner.
- Ensure adherence to AHC policies, procedures, and standards regarding quality improvement, customer service, patient access, productivity, confidentiality, clinic receipts and deposits, and facility.
- Works collaboratively with the Business Operations Director, Clinical Operations team, and Director of Provider Relations and Outreach in helping to advance the mission, goals, initiatives and promotion of the clinics.
- Identify critical issues that require the attention of the Business/Clinical Operations Director and make recommendations for addressing and/or resolving these issues.
- Utilizes a tracking system to oversee and document all responsibilities assigned to the Site Manager
- Serve as Site Manager at assigned location(s), as needed.
- Supervision and Training:
- Directly supervises Site Managers and provides regular on-site mentorship through multiple monthly visits; travel, including occasional overnight stays, is required.
- Leads and motivates staff to uphold high standards of professionalism, efficiency, and patient-centered service.
- Ensures effective communication of goals, objectives, policies, and procedures through meetings, huddles, and other channels.
- Develops, delivers, and ensures compliance with required staff training.
- Prepares and conducts timely performance appraisals, including reviewing documentation with employees and creating and monitoring development plans as needed.
Required Training & Experience:
- Proficiency with Microsoft Office suite of products.
- Ability to use the Electronic Health Records system effectively.
- Possesses a current Basic Cardiac Life Support CPR certification.
- Possesses the ability to secure transportation to allow for reliable and timely work attendance, including when business is required to be conducted at sites other than your primary worksite.
- Possesses or obtains a Certified Medical Assistant certification within 12 months of hire.
