SPECIALIST LEAD: STOCK CONTROL (INTERNAL APPLICANTS ONLY)
JOB DESCRIPTION:
To manage the ordering and selecting of office, educational and janitorial supplies for the District.
ESSENTIAL FUNCTIONS:
Incumbent must achieve the following outcomes with or without reasonable accommodation:
- Coordinates and determines quality, quantity and appropriateness of educational and janitorial supplies.
- Updates the stock control system and procedures for educational and janitorial supply items.
- Develops and manages the Instructional and Janitorial budget, insuring the highest level of stock possible.
- Prepares, coordinates and assists in financial and inventory reports necessary to initiate the required annual inventory and daily cycle count for the Albuquerque Public Schools warehouse commodities.
- Coordinates the process of pick tickets (requisitions) by Stock Clerks on all items requested by administrative offices, schools, Special Ed., Bilingual Programs, CNM, Belen, Gallup, Bernalillo School District and all charter schools.
- Supervises the inventorying of departments at the Instructional Warehouse (preparing schedule reports and distribution reports to appropriate personnel and departments).
- Coordinates and updates all educational and janitorial supply specifications.
- Resolves problems in receipts, back orders, invoices, cancellations, purchase orders, partial payments, damage merchandise and shortages.
- Works cooperatively with and maintains professional relationships with internal and external resources.
- Coordinates and determines the processing of bid proposals for the purchase of educational and janitorial supplies to assure correctness of specifications and that each commodity meets required needs.
- Compiles supply reports at the end of each fiscal year for State, internal and external auditors.
- Develops educational and janitorial supply bids, updating specifications to meet current manufacturer brand number, preparing bid janitorial supply bids.
- Manages and reviews, in coordination with Procurement Buyers, all educational and janitorial supply bid, authorizing purchasing or rejecting of supply items. A
- Updates and maintains IC-11, IC-12 in Lawson.
- Maintains warehouse inventory and determines projected requirements and alternative products.
- Takes appropriate action to maintain satisfactory stock turnover rate to minimize inventory investments.
- Establishes and maintains high and low limits for all stocked items based on criteria provided by the Stock Control Supervisor.
- Prepares suggested reorder lists for supervisor approval and inputs approved reorders.
- Prepares inventory schedules and reports and coordinates all aspects of the inventory program, reconciling overages and shortages.
- Reconciles inventory adjustments through research and analysis and recommends approval of adjustment to supervisor.
- Prepares inventory control reports with information on usage, age of stock, turnover rates and inventory adjustments.
- Prepares bid proposals for the purchase of educational and janitorial supplies to assure correctness of specifications and that each commodity meets required needs.
- Maintains Item Master Schedule in Lawson.
- Processes "return for credits".
- Coordinates and updates all educational and janitorial supply specifications.
- Develops educational and janitorial supply bids, updating specifications to meet current manufacturer brand number, preparing bid reports to the appropriate buyers in the Procurement Department.
- Analyzes all samples submitted by vendors for supplies which do not meet specifications when evaluating educational and janitorial supply bids.

- Ability to meet deadlines and work on multiple projects.
- Skilled in word processing, database and spreadsheet software.
REQUIREMENTS:
- High School Diploma or GED.
- Secondary coursework in business administration or related courses.
- Valid New Mexico driver’s license with insurable driving record.
- Proficient mathematical and computer skills.
- Three years experience in warehousing and stock control.
