Summary:
The Office Manager oversees the day-to-day operations of the Practice, including clinical and clerical staff. This role is responsible for ensuring smooth practice operations, implementing new procedures as needed, and fostering a collaborative environment that improves quality and efficiency. The Office Manager will regularly observe and monitor teams to identify areas for improvement.
Key Responsibilities:
- Oversee daily operations of both clinical and clerical staff to ensure seamless workflow.
- Regularly observe and monitor team performance to identify opportunities to improve quality and efficiency.
- Implement new clinical procedures as needed in collaboration with SEUM, physicians, and staff, ensuring safety and adherence to clinical best practices.
- Partner with the SEUM Operations Manager and Operations Support Coordinator to ensure smooth handling of operational tasks.
- Balance and deposit office funds, including resolving payment issues with Phreesia/Allscripts.
- Print checks and collaborate with the CFO to resolve payment and billing-related issues.
- Address physician inquiries and provide timely support as needed.
- Assist with front desk and phone operator coverage when staff are unavailable.
- Troubleshoot IT issues and coordinate with Operations Support Coordinator and/or Operations Manager as needed.
- Order office supplies, including appointment cards, RX pads, envelopes, etc.
- Coordinate building maintenance and service requests.
- Manage time-off requests for staff through Paycor, maintain the physician time-off calendar, and manage scheduling conflicts
- Collaborate with SEUM Human Resources to handle all staff discipline, addressing performance or behavioral issues.
- Coordinate training of new hires and staff evaluations.
- Schedule and coordinate physician meetings with Roper Hospital, SEUM, and other vendors.
- Handle self-pay patient inquiries and provide necessary assistance.
- Prepare and send patient letters as required by physicians.
- Review open encounters and collaborate with relevant teams to ensure timely completion of charts.
- Conduct weekly calls with SEUM to ensure alignment and operational efficiency.
- Foster a collaborative and professional environment, encouraging team engagement and accountability.
- Perform other tasks as needed.
Minimum Job Qualifications:
- Minimum of 5 years of management experience in a healthcare setting.
- RN or LPN preferred, with active licensure.
- Proven leadership and team management skills.
- Strong understanding of clinical processes and best practices.
- Excellent communication, problem-solving, and organizational skills.
- Proficiency in healthcare software systems (e.g., Allscripts, Phreesia).
- Ability to handle multiple priorities in a fast-paced environment.
- Knowledge of Allscripts is a plus
Job Requirements:
- Ability to work on-site full-time.
- Strong attention to detail and a commitment to accuracy.
- Ability to maintain confidentiality and comply with HIPAA regulations.
- Must be able to occasionally lift and move office supplies or equipment (up to 25 lbs).
- Flexibility to work extended hours as needed to support practice operations.
