We’re looking for an honest, self-motivated person to join our team as an Assistant Property Manager and Administrative Assistant. Reporting directly to the President, you’ll help oversee and improve day-to-day operations across the portfolio, handling both administrative and property management responsibilities.
This is a hands-on role with real variety — one hour you may be processing applications and updating records, the next you may be walking a unit with a prospective tenant or a contractor. If you’re organized, level-headed, good with people, and like owning problems from start to finish, you’ll do well here.
What You’ll Do
- Property operations: Manage day-to-day operations including maintenance, unit turnovers, and repairs.
- Work orders and resident relations: Review, assign, and follow up on service requests. Respond to inquiries from residents, applicants, vendors, and staff. Handle lease grievances and violations, and resolve concerns promptly.
- Showings and leasing: Travel to our various properties to show apartments to prospective tenants. You’ll be the face of the company at these showings — greeting people, answering their questions confidently, highlighting what makes the unit and the neighborhood a good fit, and actively selling the space rather than just unlocking the door.
- Marketing: Advertise vacancies and keep listings current (AppFolio, Furnished Finder, Airbnb, and similar). Follow up on inquiries, process applications, and manage move-ins and move-outs through to completion.
- Vendor management: Source, schedule, supervise, and evaluate contractors and vendors to ensure quality work and cost-effectiveness. Coordinate site access and timelines.
- Maintenance oversight: Oversee property repairs and replacements to a high standard, including monthly site visits to document conditions and flag issues.
- Record-keeping and reporting: Maintain accurate records for repairs, resident files, and financial transactions. Pay invoices and bills and work with our accountant. Ensure data entry complies with internal and regulatory guidelines.
- Administrative tasks: Draft correspondence, process bank deposits, maintain supply inventory, and keep systems and documentation up to date.
- Budgeting and compliance: Assist with property budget creation and ensure operations follow company policy, local law, and funding regulations.
- Team support: Support and mentor property management staff, help prioritize work, and contribute to a collaborative team environment.
- Court appearances: Prepare eviction notices and attend court hearings for eviction proceedings when necessary.
What We’re Looking For
Required
- A strong work ethic and genuine motivation — this is what we care about most
- Comfortable and confident talking with people. You’ll speak with prospective tenants, current residents, and vendors every day, and you should enjoy that part of the job
- Willing and able to travel to our properties to run showings and market available apartments
- Minimum 2 years of real estate or property management experience
- Strong written and verbal communication skills
- Excellent customer service and interpersonal skills
- Strong organizational and scheduling skills. This job runs on dozens of small tasks at once — work orders, follow-ups, vendor check-ins, showings — and you need a system that keeps track of all of them. Whether that’s a to-do list, a calendar, or something else, you should be someone who writes things down, reviews them regularly, and closes them out rather than letting them slip
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to work independently, meet tight deadlines, and work occasional weekends
- Valid driver’s license and reliable transportation for travel between property sites
- Ability to use hand and power tools and be on-site overseeing property repairs
Preferred
- Experience with property management software such as AppFolio or Yardi
- Post-secondary education (preferred, not required)
- Experience managing budgets
- Experience leading or mentoring a small team
Compensation and Benefits
- Salary: $49,920 per year, paid biweekly by direct deposit (W2)
- Health insurance: Company covers 50% of the premium under the current plan
- Paid time off: 10 days of vacation/sick leave annually, beginning in the 7th month of employment Paid holidays: 6 days per year
- Turnover bonus: Performance bonus of up to $300 per completed move-out/turnover/move-in, based on how quickly the unit is turned
