Operations Assistant Role Definition
Primary Responsibilities: The Operations Assistant has the principal responsibility of preparing and coordinating delivery of client travel documents while supporting the activities of the Travel Designers and the overall customer experience.
Position is: Hourly, Non-Exempt, Full-Time, Temporary Reports to: Sales & Operations Manager
Supervises: N/A
Supports: General Manager, Operations Manager, Travel Designer, Product Coordinator
Operations Assistant Accountability:
1. Serving as the company’s first point of contact, answering phones and responding to preliminary inquiries as required.
2. Updating client travel documents in preparation for summer season
3. Preparing client travel documentation and delivering to transportation providers
4. Supporting the Travel Designers by verifying vendor service availability, reconfirming scheduled client itinerary services
5. Maintaining all vendor files including contracts and certificates of insurance
6. Assisting the Product Coordinator in requesting updated vendor contract details including current rates, services, products, and images and communicating updates proactively to the team
7. Assisting with special projects as required
8. Ordering and maintaining all office supplies inventory, including visitor guides and vendor brochures
Operations Assistant Authority:
Within established budgets the Operations Assistant has the authority to:
1. Order office supplies and materials and request IT assistance as directed.
2. Maintain vendor and product information in company databases and website.

- Microsoft Excel: 1 year (Preferred)
