We are seeking a dependable, organized, and customer-focused Medical Records & Reception Specialist to join our growing imaging team. This position is primarily responsible for managing medical records, ensuring the timely and accurate processing of patient information, and maintaining compliance with HIPAA and company policies. In addition, this role will provide receptionist coverage at our various imaging locations as needed to support daily operations.

Essential Duties and Responsibilities
Medical Records
Process incoming requests for medical records, reports, and imaging in accordance with HIPAA regulations.
Prepare, scan, index, and maintain patient records within the electronic medical record (EMR) and PACS systems.
Ensure the accuracy, completeness, and confidentiality of patient records.
Respond to medical records requests from patients, providers, attorneys, and insurance companies.
Track and document records requests and releases.
Assist with record retention and destruction in accordance with company policies and regulatory requirements.
Communicate professionally with patients and healthcare providers regarding medical record inquiries.
Reception Coverage
Provide receptionist coverage at various company locations as needed during vacations, illnesses, staffing shortages, or other operational needs.
Greet patients in a friendly and professional manner.
Register patients and verify demographic and insurance information.
Answer multi-line telephone systems and direct calls appropriately.
Schedule imaging appointments as needed.
Collect patient payments and maintain accurate cash handling procedures.
Assist with patient check-in and check-out processes.
Maintain a clean, organized, and welcoming reception area.
General Responsibilities
Maintain strict patient confidentiality and HIPAA compliance.
Provide excellent customer service to patients, physicians, and coworkers.
Work collaboratively with clinical and administrative staff.
Assist with additional administrative duties as assigned.
Travel between company locations for coverage when needed.
Qualifications
Required
High school diploma or equivalent.
Minimum one year of experience in a medical office, healthcare administration, or medical records environment.
Strong computer skills and proficiency with Microsoft Office.
Excellent organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to prioritize multiple tasks in a fast-paced environment.
Reliable transportation for travel between clinic locations as needed.
Preferred
Experience with electronic medical records (EMR), PACS, or radiology information systems (RIS).
Previous medical records or radiology office experience.
Knowledge of HIPAA regulations and medical terminology.
Physical Requirements
Ability to sit or stand for extended periods.
Ability to occasionally lift up to 25 pounds.
Ability to move between clinic locations as operational needs require.
