Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems efficiently to handle inquiries, route calls, and provide prompt assistance.
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents and records.
  • Perform data entry tasks accurately using Microsoft Office Suite and Google Workspace applications, including spreadsheets, documents, and presentations.
  • Support bookkeeping activities by utilizing QuickBooks for invoicing, expense tracking, and financial record keeping.
  • Assist with calendar management by scheduling appointments, meetings, and events while coordinating with team members to optimize time management.
  • Provide clerical support such as proofreading correspondence, preparing reports, and managing mail distribution.
  • Support office management duties including inventory control, ordering supplies, and maintaining a clean workspace environment.
  • Offer customer support by addressing inquiries professionally via phone or email while maintaining excellent customer service standards.
  • Assist with special projects that require organizational skills, attention to detail, and timely completion.
  • Handle personal assistant tasks when needed—such as travel arrangements or confidential document preparation—supporting executives or team leaders effectively.

Qualifications

  • Proven office experience with a strong background in administrative support roles.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and basic computer literacy skills.
  • Experience with QuickBooks or similar bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong typing skills coupled with keen proofreading abilities to ensure accuracy in all documents.
  • Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for effective communication with diverse clients or team members.
  • Familiarity with multi-line phone systems and front desk operations to create a welcoming environment.
  • Knowledge of office management practices including filing systems and data entry procedures.
  • Personal assistant or medical/dental receptionist experience is advantageous but not required.
  • Ability to demonstrate time management skills by prioritizing tasks efficiently in a fast-paced setting.
