Examples Of Duties

This position performs confidential administrative and secretarial support services for the Chief of Schools and Assistant Director of Schools, acts as the information resource between the Chief of Schools/Assistant Director of Schools, and other District Administrators, staff, parents, students and the District secondary schools; provides office coordination for District programs assigned to Secondary Education and provides consistent support and customer service to Administrators, students, parents, staff, the public and State agencies.

Essential Job Functions

  • Coordinates the activities of the Secondary Education office; answers and responds to telephone and in-person inquiries from students, parents, staff, and the public; screens calls for the Chief of Schools and Assistant Director of Schools for the purpose of performing support services and acting as information resource.
  • Provides confidential administrative and secretarial support to the Chief of Schools and Assistant Director of Schools; maintains appointment calendars; schedules and/or attends meetings; may record minutes at meetings; coordinates meetings and travel arrangements; compiles various reports, lists, correspondence, Board memos and other documents as assigned for the purpose of performing support services.
  • Provides support for District Secondary Education programs; familiar with current State, Federal laws and District regulations and processes for Secondary level issues, such as student discipline and appeal hearings; ensures compliance with State regulations; responds to questions from Administrators, parents, staff and students regarding policies, procedures and regulations; composes correspondence to parents, as needed; coordinates services and information with Administrators, staff and District offices for the purpose of acting as information resource and providing consistent support and customer service.
  • Researches, compiles and organizes statistical data and various materials as directed; edits and/or designs formats; summarizes information from records and reports as requested; prepares and submits related District, state and federal reports for the purpose of providing support services.

5Processes payroll for Department and District programs, as assigned and processes Department petty cash claims; maintains attendance records for assigned staff; maintains inventory records for the Department and District programs; orders and receives Departmental and District programs supplies; processes requisitions as directed; prepares mileage and extended travel authorization requests and claims for the purpose of providing support services and office coordination for District programs.

  • Monitors and assists with Graduation procedures and other special District programs; monitors and maintains the budgets of various grants and District programs; prepares budget reports and makes recommendations; keeps the Directors and Assistant Director informed for the purpose of providing office coordination for support programs.
  • Designs and prepares certificates for student awards, brochures and fliers to publicize various District programs; prepares the program agenda and compiles information for printing and distribution; designs and maintains the program website for the purpose of providing coordination for support programs.
  • Uses the Student Information System for retrieving demographic information, grades, attendance, course offerings and/or program related information and/or uses other database systems as needed for the Directors and Assistant Director of Secondary Education and for assigned special programs; establishes, maintains and monitors records and files for staff and student information; may design and develop databases to record and track records and logs for the purpose of performing support services.

  • Regular, reliable, predictable attendance or physical presence is an essential job requirement and critical to the performance of the work.

CONDITIONS

Required to concentrate on detail and be precise; experiences frequent interruptions; required to deal with, and defuse, if appropriate, difficult and sensitive situations and/or people; required to work with confidential information; confined to the workstation for prolonged periods and attends meetings at District sites.

Minimum Qualifications

Education and Experience

High school graduation or equivalent and three years of increasingly responsible secretarial and budget tracking experience; experience with grant monitoring and tracking; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.

Licenses/Special Requirements

Fingerprints and successful WSP and FBI background clearance/sexual misconduct clearance.

Allowable Substitution

Equivalent combinations of education and experience will be evaluated by the Human Resources Department for comparability.
