Secretary / Bookkeeper
Prior secretarial/office managerial experience and knowledge of Google applications, Microsoft Office, Next-Gen Accounting software, and PowerSchool is preferred.
Reports To:
Principal and CSFO
Job Goal:
To help provide a well organized, efficiently operated school office
Responsibilities:
Serves as a confidential secretary to the principal/director
Prepares and maintains student database, local school records, and files
Monitors student check-in/check-out system and attendance
Makes and receives telephone calls, take messages, routes calls
Distributes and prioritizes mail
Prepares and distributes publications for parents, students, and the Shoals community
Greets, assists, and documents school visitors
Prepares, distributes and files records, reports, and correspondence
Administers medications/first aid according to system policy and school regulations
Operates standard office equipment
Prepares, process, and maintain accurate payroll and attendance records for building staff
Assist in the development of and revisions to Student and Teacher Handbooks
Must work well with and demonstrate patience while interacting with parents, children, coworkers, and the community.
Must possess the ability to communicate clearly, correctly, and concisely, both orally and in writing
Schedules use of building
Must be receptive to in-service training as appropriate
Must perform duties with awareness of Board of Education policies and school
regulations and procedures
Prepares, updates, and maintains electronic records as required by the State Department of Education
Prepares and maintains school fixed asset inventory and textbook inventory.
Prepare school deposits and record financial transactions for programs and office
Assist with annual budgets
Prepares and maintains purchase order records and invoice agreements to include processing, ordering, recording, and maintaining school program materials, supplies, and equipment
Performs other duties as assigned by the principal
Additional Responsibilities for MSCA assignment:
Prepare, distribute, and collate annual business/industry survey.
Assist teachers in the preparation of career/technical program(s) annual budget.
Prepare, record, and maintain accurate school and career/technical program(s) financial records inclusive of receipts, expenditures, purchase orders, invoice agreements, live work, student fees, school deposits, etc.
Must obtain knowledge of career/technical education programs offered within Muscle Shoals City Schools in order to communicate effectively with parents/guardians and the Shoals community
Collect, prepare, record, and distribute student attendance electronically to all feeder schools
Qualifications:
Must possess the ability to get along with other people and work as a team
High school diploma or equivalent
Proficient in the use of current computer technology including spreadsheet, database, and word processing formats
Experience as a secretary/bookkeeper desired
Terms of Employment:
Compensation determined by current salary schedule
187, 208, 222, or 240 day assignment
New hires with the district are required to attend an orientation. More than one position per category may become available and applicants may be considered for placement throughout the district based upon appropriate and current Alabama Certification credentials.
