Position Summary
The Alabama Restaurant & Hospitality Association (ARHA) is seeking a highly organized, dependable and versatile professional to serve as Executive Assistant & Communications Coordinator. This position works closely with the President & CEO and plays an important role in the day-to-day operations of the association.
The ideal candidate is an excellent organizer and communicator who enjoys variety and is comfortable managing multiple responsibilities. This is a hands-on position that combines executive and administrative support, member communications, meeting and event coordination, publication production and general office operations.
We are looking for someone who takes initiative, pays close attention to detail and can work independently. Experience with every software program we use is not required. Strong writing, organizational and technology skills, along with the ability and willingness to learn, are more important.
Responsibilities
Executive & Administrative Support
- Provide day-to-day administrative support to the President & CEO
- Assist with correspondence, scheduling, document preparation and general office operations
- Maintain association records, files and contact information
- Process checks, invoices and other routine financial documentation
- Communicate professionally with members, board members, vendors and other stakeholders
- Routine database maintenance
- Assist with membership administration and other association programs as needed
Meetings & Events
- Assist with planning and coordinating board meetings, committee meetings, conferences and association events
- Coordinate meeting logistics including venues, food and beverage, attendance, materials and other arrangements
- Prepare agendas, meeting packets, name badges and other materials
- Track registrations and RSVPs and communicate with attendees
- Assist with on-site event responsibilities as needed
Communications
- Draft and format weekly member update emails and other association communications
- Update and maintain content on the ARHA website
- Assist with email communications, announcements and member notices
- Proofread and edit materials for accuracy, grammar and consistency
- Create social media posts and other digital communications
Magazine & Publications
- Coordinate production of the association's magazine and other publications
- Lay out articles, photographs, advertisements and other content using established designs and templates
- Coordinate with advertisers, contributors, printers and other vendors
- Proofread publications and help ensure production deadlines are met
Advertising Sales — Additional Commission Opportunity
- Employees interested in earning additional income may solicit advertising for the ARHA magazine, website and other association opportunities
- Develop and maintain relationships with current and prospective advertisers
- Advertising sales are eligible for commission in addition to the position's regular salary
Qualifications
- Excellent written and verbal communication skills
- Strong organizational skills and exceptional attention to detail
- Ability to manage multiple projects and deadlines simultaneously
- Professional judgment and discretion
- Ability to work independently, anticipate needs and take initiative
- Strong computer skills and the ability to learn new technology quickly
- Proficiency with Microsoft Office or similar business software
- Experience with website content management, email marketing platforms, Canva, Adobe InDesign or similar design/publishing software is preferred but not required
- Experience in association management, executive support, communications, event planning, publishing or a related field is a plus
- Advertising or sales experience is helpful but not required
A college degree is preferred, but relevant professional experience and demonstrated skills will also be considered.
Compensation & Benefits
- Approximately 25-28 Hours Per Week
- Salary: $22 -$25/hour Advertising Sales Commission
- Opportunity to earn additional compensation through advertising sales commissions
Some flexibility in work schedule may be available. However, a regular work schedule must be set and complied with once established. Occasional additional hours or travel may be required for association meetings, conferences and special events. Overnight travel required 3-4 times per year.
