Job Overview:
The Sponsorship Assistant supports the Sponsorship Manager in the daily operations of the sponsorship department, including processing and managing sponsorship requests and payments, entering and maintaining accurate data, providing timely sponsor support, and maintaining smooth communication with all offices and departments. The role also involves liaising with the Iraq and International offices to coordinate sponsorship information, updates, and ongoing requests.
Responsibilities include:
- Assist sponsorship department with the implementation of strategies and plans.
- Provide administrative support to the sponsorship department head.
- Assist with special projects and campaigns as needed.
- Follow and apply sponsorship procedures and guidelines in all workflows and communications with sponsors and internal offices.
- Enter, update, and maintain all sponsorship records in Salesforce and internal databases on a daily basis.
- Process and manage sponsorship requests, including new and stopped sponsorships, child updates, file transfers, gifts, and other requests by department deadlines.
- Monitor and update sponsorship payments in internal databases.
- Track and resolve failed recurring sponsorship payments.
- Monitor upcoming renewals and due payments for nonrecurring sponsorships, ensuring timely processing and contact with the sponsor.
- Audit sponsorship payments entered in Salesforce by the accounting team, ensuring accurate allocation and timely correction of any discrepancies by monthly deadlines.
- Coordinate with Accounting to obtain sponsorship payment history for full audits of sponsorship accounts as needed.
- Respond to various sponsor inquiries via email and phone promptly, professionally, and efficiently.
- Communicate updates regarding sponsorships to sponsors in a clear and timely manner.
- Retrieve receipts from Salesforce and send them to sponsors upon request.
- Liaise with the Accounting department to provide sponsors with year-end reports and full transaction histories upon request.
- Conduct ongoing data quality checks, audits, and reconciliations, to maintain accurate child, sponsor, and payment records in Salesforce and internal databases.
- Prepare PowerPoint presentations and process guides.
- Interface with the accounting department to provide them with accurate figures and to ensure the department figures are updated for the weekly, monthly, and quarterly reports.
- Prepare weekly, monthly, and quarterly reports under the guidance of the department head.
Liaise with Iraq office
- Manage daily communications from Iraq via email, relaying messages to the department manager, providing translations as needed, and confirming receipt of such emails.
- Coordinate sponsorship requests to and from Iraq, including requesting children updates, sending gift receipts to the Iraq finance department, processing file transfers, and responding to Iraq office queries.
- Assist department manager with Iraq office Dropbox management: Track and process child status changes and child assignments, complete and upload reports, and upload and assign monthly Iraq sponsor IDs.
- Be available to travel and attend events within the USA to support marketing strategies.
- Attend events in or out of town as required.
- Perform other duties/tasks as assigned.
Qualifications and Skills:
Required:
- Associate degree or relevant experience.
- Ability to function within a matrix organization in which functional and business leaders have equal authority within the organization, and employees report to both an office manager and upper management.
- Ability to establish and maintain effective working relationships with supervisors, coworkers, management, and sponsors.
- Ability to read, write, and speak English and Arabic proficiently.
- Excellent interpersonal and verbal communication skills, with a welcoming, helpful, and supportive demeanor.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams. Planner and Outlook), Adobe and other associated programs (Dropbox).
- High level of professionalism and ability to maintain confidentiality of sensitive information.
- Detail-oriented with strong analytical and creative problem-solving skills.
- Proficient in data entry.
- Strong time management and organizational skills.
- Ability to prioritize tasks, meet tight deadlines, and work independently.
- Flexible and adaptable, willing and able to work flexible hours, and support events as needed.
- Comfortable performing in fast-paced, high-intensity environments, both indoors and outdoors, with a hands-on approach.
