Overview:
Akshar Physical Therapy and Rehabilitation, PLLC is seeking an experienced, reliable, compassionate, and multilingual Front Desk Coordinator & Physical Therapy Aide to join our growing team. This unique dual-role position combines administrative responsibilities with hands-on patient support. You will be the first point of contact for patients—welcoming them to our clinic, managing scheduling and billing tasks—and also assisting physical therapists during treatment sessions. Ideal candidates are detail-oriented, people-focused, and passionate about improving patient experiences. Fluency in English, Hindi, and Gujarati is required.
Key Responsibilities
Front Desk/Administrative Duties
- Greet and check in patients with professionalism and warmth
- Maintain a neat and organized reception area
- Schedule and confirm patient appointments
- Required Create and maintain patient charts and electronic medical records (EMRs)
- Verify insurance (primary and secondary); update patient coverage
- Collect co-pays, deductibles, and insurance checks
- Answer phone calls and respond to emails
- File documents and perform general data entry
- Follow up with patients as needed to maintain Therapist Productivity without help
- Ensure smooth patient intake and documentation completion
- Communicate with therapists and keep patient flow on schedule
Clinical Support / Health Aide Duties
- Assist physical therapists with patient exercises and mobility
- Set up and sanitize treatment areas and equipment
- Track therapy products and supplies
- Provide basic patient assistance during sessions
- Understand and support use of clinical software systems
Good To Have, But Not Limited To
- 2 years of experience in a clinical front desk, healthcare admin, or outpatient rehab setting (Preferred)
- Familiarity with medical or physical therapy clinic operations
- Basic knowledge of Health Insurance Processes
- Proficiency with EMR systems, Microsoft Office and basic computer skills
- Knowledge of HIPAA regulations and patient confidentiality practices
- Ability to assist with light clinical documentation and therapy notes
- Strong multitasking, organizational, and communication skills
- Ability to work independently and stay composed under pressure
- Able to lift 40–50 lbs and assist with patient mobility
- Readiness to help patients with mobility challenges by providing support during transfers to and from wheelchairs if needed
- Strong interpersonal skills, especially with elderly or rehabilitating patients
- Ability to translate or interpret between English, Hindi, and Gujarati (required), Spanish is a plus
- Willingness to take on additional office support or patient care tasks as needed
- Interest in pursuing a career in healthcare, rehabilitation, or physical therapy
