We are a high-performing personal injury law firm committed to delivering exceptional legal advocacy and compassionate client service. Our Accounting Department is focused on excellence, and we are currently seeking an Accounting Clerk to support our Accounting Manager.
POSITION SUMMARY
The ideal candidate demonstrates strong attention to detail, a high level of accuracy, and the ability to manage multiple priorities in a fast-paced, professional environment. This position serves as the right hand to the Accounting Manager, providing critical administrative and technical support to maintain smooth accounting functions across the firm.
LIENS & REDUCTIONS RESPONSIBILITIES
- Prepare legal papers and correspondence. (Provide drafting instructions to insurance carriers.)
- Obtain reductions from all medical providers, lienholders, and/or any other party that is owed monies as a result of the client's case as applicable.
- Document all case files in the Notes and properly label all correspondence in the case filing system (Filevine).
- Research through the County Recorder's office for all liens including medical; med -pay, child support, tax, etc.
- Verify Medicare, Medicaid, Tricare, Worker’s Compensation, or any other potential lien claims have been filed, file them as necessary, and actively move them toward conclusion.
- Perform other clerical duties.
SETTLEMENT RESPONSIBILITIES
- Generate all documentation related to the processing of a case.
- Prepare legal papers and correspondence.
- Prepare the Settlement packets and lead Fund Out Fridays.
- Obtain reductions from medical providers, Hospitals and/or any other party that is owed monies as a result of the client's case as applicable.
- Work with the Firm Accountant to ensure Insurance checks are properly deposited in the Trust account, that checks are properly issued to lien holders and clients, and that the Firm's fees and costs are properly paid.
- Document all case files in the Notes and properly label all correspondence in the case filing system (Filevine).
- Understand auto insurance policies and how they are applicable to each client's case.
- Maintaining medical record and bill inventory, and regularly verify treating providers to ensure the client's case file is current.
- Understand health insurance billing processes & procedures to ensure clients receive maximum benefits.
- Research through the County Recorder's office for all liens including medical; med -pay, child support, tax, etc.
- Ensure the Records Tab matches the QB Expense Tab and update Tabs with new information as soon as it is received about advances, health insurance liens, provider liens and super liens.
- Work with insurance adjusters, defense counsel and clients to coordinate the signing of release documents.
- Verify Medicare claims have been filed, file them as necessary, and actively move them toward conclusion.
- Perform other clerical duties such as scheduling appointments, providing information to callers, composing, and typing routine correspondence, and reading and responding to incoming mail.
- Prepare and maintain accurate settlement disbursement statements.
- Audit and reconcile case expenses to ensure accuracy and compliance.
- Request, track, and organize updated statements for client files.
- Communicate with clients daily to provide updates and address inquiries.
- Monitor and update Settlement team regarding documents sent, received, or outstanding.
- Assist with special projects and initiatives as assigned.
- Perform general administrative duties, including document management and data entry.
- Other general administrative duties as assigned.
REQUIREMENTS:
- Strong verbal and written communication skills with ability to handle sensitive client matters.
- Exceptional organizational skills and attention to detail.
- Strong time management skills with a proven ability to meet deadlines.
- Analytical and problem-solving skills with ability to resolve issues proactively.
- Ability to prioritize tasks in a fast-paced environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with QuickBooks preferred.
- Ability to lift up to 15 pounds on occasion.
- Bilingual English and Spanish
QUALIFICATIONS:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 4-6 years of experience in a plaintiff injury firm with a focus on settlements.
