Responsibilities
- Greet visitors and clients warmly, providing a positive first impression of the company
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems and perform data entry with accuracy using tools like Microsoft Office and Google Workspace is a must with at least 4 years of work experience.
- Support office management tasks such as scheduling appointments, calendar management, and coordinating meetings
- Provide clerical support including proofreading documents, managing inventory supplies, and performing general administrative duties
- Ensure proper phone etiquette is maintained at all times to foster professional communication
- Support customer service efforts by addressing inquiries promptly and courteously
- Perform light bookkeeping duties such as invoicing or expense tracking as needed
Experience
- Proven office experience in a receptionist or administrative support role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or other bookkeeping software is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Demonstrated customer service skills with the ability to handle inquiries professionally and efficiently
- Strong typing skills with attention to detail for data entry, proofreading, and document management
- Excellent time management skills to prioritize tasks effectively in a busy environment
