POSITION SUMMARY


The Director of Preconstruction works with the Business Development team to service client’s needs early in the project and relationship.  Plans, organizes, and executes on conceptual layouts and budgeting, design coordination and scheduling, bidding and any and all activities pertaining to preconstruction.  Has responsibility for ensuring all deliverables are completed and dates are met while consistently meeting the quality standards expected out of AJAX work product.


ESSENTIAL FUNCTIONS


Bid / Select Bid work:

  • Receive bid documents and upload into Procore
  • Create a subcontractor list from master sub list.
  • Solicitation and send invitations and bid documents to subcontractors.
  • Review bid documents in detail to ensure completeness and identify discrepancies and scope gaps. 
  • Send RFIs to the owner/designers for clarification
  • Complete necessary quantity takeoffs for subcontractor comparison
  • Responsible for ensuring there is good subcontractor participation with competent and qualified subcontractors.  Utilize other team members and or interns when necessary but ultimate responsibility is with Director of Preconstruction.
  • Create bid sheets with project specific scopes to compare sub quotes for each trade.
  • Create estimate sheet with standard SOV.
  • Prepare proposal for owner
  • Coordinate with team to follow up with the owner to understand status of project award, timing etc.
  • Upon award, generate DBIA or AIA contract and send to owner for execution.  Spearhead, schedule, coordinate contract negotiation with owner and AJAX team (President, Controller and Legal).
  • Schedule an internal project handoff meeting with PM and Project Exec to finalize the Procore budget, discuss the scope of the project, subcontractor quotes, any areas of concern etc.


Design / Build Work:

  • Work in conjunction with the Project Manager
  • Assist consultants and or ownership team with preliminary site layouts, elevations, building layouts, unit mix etc.
  • Perform Due diligence to obtain and understand municipality requirements
  • Solicit design proposals from consultants and submit a Design Proposal to the owner
  • Generate DBIA contract and send to owner for execution.  Schedule, coordinate and push contract negotiation with owner and AJAX team (President, Controller and Legal).
  •  Conduct (Along with PM) initial design kickoff meeting as well as progress design coordination meetings.
  • Review (Along with PM) drawings and details at each progress set to ensure coordination between disciplines.  
  • Revise/update budget at each progress set.  Send to major subs to help with the budget check as needed.  Review with PM at each interval before sending to owner.
  • Request owner sign off at each phase of design and progress drawings.
  • Ensure (Along with PM) the civil and architect submits drawings and all required forms and documentation to AHJ for permit review/approval.  Understand and track progress of review process.
  • Compile construction proposal
  • Schedule an internal project handoff meeting with PM and Project Exec to discuss the scope of the project, review the proposal, clarifications, finalize the Procore budget breakdown, subcontractor quotes, any areas of concern etc.


Department Setup / Forms

  • Process: Create, track, update master sub list in Procore or similar software.  This will be an ongoing exercise to ensure we get good sub coverage on projects in current and new markets. 
  • Create template estimate sheet / scope sheets / SOV with locked cells to control what is editable in the file.
  • Standardize AJAX work product (estimate form, SOV, clarifications, proposal form etc.)
  • Create template Preconstruction (Design and Permitting) schedule to publish and follow on each design build project.
  • Create a template “Project Handoff Meeting” agenda to follow on each project.



QUALIFICATIONS


Education:

Bachelor’s degree in Construction Management, Civil Engineering, Architecture, or a related field.

Experience:

3–5 years of experience in preconstruction, estimating, or related roles within the construction industry.

Proven track record with design-build and/or competitive bid processes.

Technical Skills:

Proficiency in Procore or other bidding/estimating software.

Advanced knowledge of Microsoft Excel for cost analysis and budgeting.

Familiarity with construction scheduling tools and document management systems.

Knowledge & Abilities:

Strong understanding of construction drawings, specifications, and scopes of work.

Ability to develop conceptual budgets with limited information using historical data and industry benchmarks.

Excellent organizational skills to manage multiple projects and deadlines.

Soft Skills:

Strong communication and negotiation skills for client, subcontractor, and internal team interactions.

Ability to cultivate and maintain relationships with owners, designers, and subcontractors.
