Job Title: Case Aide
Description:
In order to be considered for this position, you must take and pass an examination within the MN Merit system, which is offered online. This role does not require knowledge of all details in this description nor is it inclusive of all possible duties.
The primary function of a Case Aide is to provide paraprofessional support to administration and line staff, performing moderately difficult office support assignments that require knowledge of agency programs, procedures, and practices. As a liaison between the general public and agency staff, you will greet and provide courteous, high-quality service to the public by asking questions to determine client needs and directing them to the appropriate staff member.
You will operate multi-line telephones, photocopy documents, process incoming and outgoing mail, create and maintain filing systems, perform data entry, and maintain computer database files. Additionally, you will manage incoming and outgoing mail by accurately sorting mail for Public Health, Financial Services, Social Services, and Accounting, determining the correct program area, workgroup, case information for each document by researching various systems.
Key responsibilities include creating, importing, and indexing documents into the appropriate electronic document management system to route to the correct program worker's workflow, managing faxes, verifications, and applications, and ensuring the delivery of services meets county, state, and federal laws, mandates, policy requirements, and standards. You will also explain social service, income maintenance, public health, and other community programs and services to individuals or groups, as well as assist with direct client services such as visitation, transportation, and budgeting.
This role requires strong communication and interpersonal skills to exchange or convey information and receive work direction from supervisors, staff, and the general public. You will also be responsible for accurately entering data on departmental systems, driving safely while traveling and transporting passengers, reading and interpreting court orders, legal documents, and state statutes, and possessing intermediate skills to read and interpret documents, add, subtract, multiply, and divide in all units of measure, compute rate, ratio, and percent, and draw and interpret bar graphs.
Required qualifications include a high school diploma, plus three years of successful clerical experience and/or experience working with the public, or the equivalent. Preferred qualifications include two years of successful clerical experience in a social services/human services agency, two years of experience as a Community Service Aide or similar experience in a private non-profit agency or other public agency, and proficiency in using assigned software such as County Payroll Software E-time, Microsoft Word, Excel, Outlook, Publisher, Access, PowerPoint, Follow Along Program, PHAT, MMIS, MN-ITS, CATCH3, MAXIS, PRISM, SSIS, SMI/SIR, HUBERT, Odessey, Adobe, Internet, and other job-related software.
Supervision:
Employees working in this job class work under general supervision and usually receive some instruction with respect to details of most assignments, but are free to develop their own work sequences within established procedures, methods, and policies.
Working Conditions:
This role requires regular travel to various clinic sites, mandatory trainings, client transports, and visits.
