Office Administrative Manager
We are seeking a reliable, detail-oriented Office Administrative Manager to oversee daily office operations and manage key administrative functions. This role plays a critical part in maintaining organized workflows, ensuring data accuracy, and supporting internal teams across multiple projects.
A major component of this position involves reviewing, organizing, and preparing documentation for government rebate programs, ensuring all submissions are accurate, complete, and compliant with program requirements.

Compensation
π° Salary: $85,000 β $95,000 per year (based on experience)
Key Responsibilities
Oversee daily office operations and maintain efficient, organized administrative workflows
Manage calendars, scheduling, internal communications, and documentation
Maintain and organize digital and physical filing systems and office records
Handle incoming calls and emails in a professional and timely manner
CRM & Data Management
Enter, update, and maintain accurate data within the company CRM
Perform data cleanup, auditing, and verification to ensure consistency and accuracy
Generate CRM-based reports as needed
Reporting & Spreadsheet Management
Build, update, and maintain spreadsheets for tracking, reporting, and analysis
Utilize formulas, filters, sorting, and data validation tools to ensure data integrity
Prepare weekly and monthly reports for management
Rebate & Documentation Processing
Review customer and project documents for completeness prior to submission
Verify accuracy of forms required for government rebate and incentive programs
Track submission statuses, deadlines, missing information, and follow-ups
Coordinate with internal teams to resolve incomplete or incorrect documentation
Ensure all submissions meet program guidelines and compliance standards
Administrative Support
Support leadership with document preparation and project coordination
Assist with onboarding paperwork, file updates, and internal communications
Maintain strict confidentiality when handling sensitive information
Qualifications
2 years of office administrative experience
Experience with CRM systems and data entry accuracy
High proficiency in Microsoft Excel and/or Google Sheets
Strong written and email communication skills
Exceptional attention to detail, especially when reviewing forms and documents
Comfortable working with structured documents and compliance-related processes
Strong organizational and multitasking abilities
Ability to work independently and meet deadlines consistently
