Following routine procedures or detailed instructions from the Flight and Inflight Domicile Managers, this position is responsible for performing a variety of administrative and clerical functions required by the department.
Primary Duties and Responsibilities:
- Work closely with the Flight/Inflight Managers to ensure pertinent information is communicated to promote and foster a safe operating environment
- Handle all SIDA and parking including submitting applications and letters for new IDs and renewals
- Print and distribute monthly bid packets and awards for the pilots and flight attendants
- Print and distribute monthly pay sheets for the pilots and flight attendants
- Assist and coordinate all domicile recognition events
- Manage and handle the aircraft manual distribution process for ORD. Ensure a timely distribution of all manuals to the aircraft for ORD by working closely with ATW publications
- Maintain organization of loaner Flight Attendant Manuals
- Maintain organization of loaner luggage and crew insignia
- Maintain lost and found
- Distribute and collect crew member identification cards
- Maintain revision posting updates
- Handle all uniform and known crewmember cards including distribution
- Maintain and coordinate domicile transfers each month – update v-files accordingly
- Coordinate return of company items for employee separation
- Provide support to internal customers when necessary – IT, HR, payroll, wellness, crew services, etc.
- Acts as a liaison with local regulatory agencies such as the airport authority, transportation security administration, facilities and local law enforcement
- Act as a liaison with local external vendors
- Responsible for FedEx and co-mail
- Organizes and maintains department files
- Organizes and maintains domicile crewroom
- Organizes and orders crewroom and department supplies
- Organizes and maintains pilot iPads
- Maintains forms, files and office machinery
- Performs administrative functions for the Chicago office
- Attendance is considered an essential responsibility
Required Education and Experience:
- High school diploma or equivalent with two years’ experience preferred
- Excellent communication and organizational skills required
- Excellent PC skills required including Microsoft Office suite of tools
- Ability to handle multiple tasks
- Ability to work independently
- Ability to maintain a high level of confidentiality
