The Inside Sales Assistant / Project Coordinator position will work with the outside sales team throughout the sales process. They will work closely with our customers to ensure we are meeting and exceeding their expectations throughout the project. They will work with the service group in regards to scheduling and managing start-up / service appointments. They will also have a shared responsibility of answering the phones.

Job Description:
The Inside Sales Assistant / Project Coordinator position will work with the outside sales team throughout the sales process. They will work closely with our customers to ensure we are meeting and exceeding their expectations throughout the project. They will work with the service group in regards to scheduling and managing start-up / service appointments. They will also have a shared responsibility of answering the phones.
Essential Duties and Responsibilities:
- Work directly with the outside sales team to provide after sales assistance and customer service as required.
- Each Inside Sales Person will be assigned to multiple outside sales people.
- Provide contractor / customer support in all aspects of the sales process.
- Set up projects in Salesforce and Accounting System. Insure the purchase orders, active financials and sales order match.
- Work with contractors to ensure equipment is ready for release and verify ship date and ship to requirements.
- Release equipment for production.
- Insure we receive order acknowledgments for processed orders and verify accuracy to what was released.
- Keep project folders up to date with accurate PO’s, order acknowledgments, start-up reports, etc..
- Update Salesforce and accounting system with released equipment.
- Verify, check and update ship dates within Salesforce.
- Update the project status within Salesforce throughout the different project stages.
- Provide updates to customers on project status, product ship dates and tracking information.
- Work with accounting to make sure shipped equipment is billed at time of shipment and at the correct values.
- Work with accounting on invoicing, financial accuracy of projects and archiving of projects.
- Provide IOM’s and equipment information to customers as requested.
- Coordinate / schedule start-up and troubleshooting for all equipment.
- Work with service group on service and start-up calls. Including scheduling, project / equipment information, pre-start up check lists, follow-up, time tracking, start-up reports etc.
- Coordinate warranty requests.
- Provide parts pricing and order parts as required.
- Properly close and archive projects when projects are completed.
- Required to be knowledgeable about all the equipment we represent. Understand the basics of the products and how to price / order.
- Attend sales meeting and project meetings.
- From time to time, you will be required to participate in promotional campaigns, marketing events, manufacturer’s initiatives and sales training.
- Assist with answering phones.
- Self-starter with excellent organization and time management skills.
- Strong work ethic and reliability as you will be counted on to be part of a team.
- Able to verbally communicate well in person and over the phone.
- Customer service experience.
- Computer skills with competency in Microsoft Outlook, Excel, Word and Adobe PDF.
- Good with numbers and spread sheets.
- Energetic and brings enthusiasm to the workplace.
- Order entry, follow-up and product management skills.
- General accounting knowledge would be beneficial.
