Commercial Property Leasing Administrator – Honolulu, HI

Airport Industrial Park (AIPA) is an owner-developed and managed multi-level office/warehouse facility conveniently located next to the Honolulu International Airport. AIPA is a mixed-use office/light industrial facility with over 870,000 square feet, 1,800 parking stalls, and 110 tenants.
We are looking for an individual with experience in commercial real estate to join our team as Leasing Administrator. This position worksclosely with the leasing manager and the construction team, to contribute to an exceptional tenant experience. The right candidate for this position will be respectful, reliable, detail-oriented, and a good communicator.

Specific Responsibilities Include:
- Draft leases, lease amendments, assignments, guarantees, and licensing agreements for next-level review;
- Research proposed tenant’s or assignee’s legal name and state of incorporation.
- Maintain Excel spreadsheet tracking tenant leases, expiration dates, base rent increases, and other pertinent details.
- Review Request for Proposals (RFP’s) for completeness and accuracy; propose edits to RFP’s as necessary.
- Ensure all leases, lease amendments, guarantees, and licensing agreements are properly executed, filed and distributed to the team.
- Manage the retention of all electronic and hard copy leases, lease amendments and licensing agreements including naming convention adherence.
- Monitor and track lease-related documents such as COIs, SNDAs and estoppels.
- Prepare lease abstracts.
- Prepare lease analysis and assist with prospective tenant showings.
- Review rent rolls for accuracy.
- Prepare lease runoff reports showing future Base Rent payment streams from the existing rent roll.
- Track lists of new leases generated for reporting purposes, track trends in vacancy.
- May include coordinating with vendors, handling tenant inquiries, and performing other support tasks as needed.
Knowledge / Skills:
- Knowledge of and experience with commercial real estate leases.
- Strong knowledge of lease administration practices and procedures.
- Proficiency in standard Microsoft packages, application programs, and e-mail.
- Ability to professionally and effectively communicate with employees, business partners, and tenants in writing and verbally.
- Excellent interpersonal skills. You should be a team player with a can-do attitude, interested in both meeting the day-to-day needs of the business as well as identifying efficiencies and process improvements.
- Ability to prioritize, meet deadlines, and work productively under pressure.
- Ability to work with concentration, accuracy, and the highest attention to detail.
- Ability to be detail orientated, organized, and responsive to customers, property managers, tenants, vendors, and co-workers.
- Ability to reliably commute to our office near the Honolulu International Airport.
- Willingness to voice opinion and ask pertinent questions.
Background:
- Minimum educational level: Bachelor’s degree with 2 years commercial real estate, lease, and/or property management experience or the equivalent.
