Job Summary
The Senior Project Coordinator shall provide project support and coordination of all business activity for the management team within the group. Align team resources and assist in the development and coordination of schedules and procurement needs.
Key Responsibilities
- Maintain and organize all project documentation, including contracts, subcontracts, certificates, submittals, and correspondence.
- Ensure contracts and subcontracts are executed before work begins.
- Support Project Managers with purchase orders, invoices, change orders, and billing requisitions.
- Verify vendor invoices against purchase orders and resolve discrepancies.
- Update and track project schedules, submittal logs, change orders, RFIs, and cost-to-complete data.
- Monitor and record daily field reports, materials returns, and equipment mobilization/demobilization.
- Ensure timely and accurate entry of time reports, invoices, and related project data.
- Assist with project closeout, including documentation, equipment, and material reconciliation.
- Promote efficient administrative processes and support overall project management operations.
- Acts as the "conscience" of the project management function to help ensure that administrative activity is completed timely and smoothly.
- Performs other duties as necessary to support efficient project management operations.
- 5-7 years relevant experience within the construction industry is an asset.
- Proficient in Microsoft Office and capable of learning company software systems.
- Strong organizational, communication, and time management skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Detail-oriented, process-driven, and customer-focused.
- Knowledge of project coordination and documentation requirements.
- Flexible, proactive, and collaborative team player.
- Combination of education and relevant experience will be considered.
