Job Summary:
Reporting to the Manager, Human Resources – the Benefits Specialist will assist with the administration of the company's benefit and pension plans and support and maintain the employee information in the Human Resource Information System (HRIS).
Key Responsibilities:
Benefits:
- Coordinating administration of disability, group insurance, savings and other benefit plans with outsource partners.
- Administering the benefit plans in compliance with plan policies, current legislation and corporate governance requirements.
- Communicating information to members and external providers relating to key issues pertaining to the benefit plans.
- Participating in benefit plan projects, conducting research and analysis relating to plan design issues, gathering feedback from plan members and identifying and implementing process improvements
- Participation in the annual group insurance re-enrolment process for plan member renewal.
- Prepare communications to plan members with any changes to plans.
- Maintaining and updating various plan documents as required.
- Coordinates short term disability activities and pay actions, escalates accordingly
- Coordinates employee leave of absence requests (maternity/parental, personal, unpaid etc.).
- Providing additional support and back-up within the HR team, as required
HRIS:
- Maintains employee data records and workflow pertaining to employee and ensures entries are timely, accurate and consistent in relation to organizational adjustments, comp increases, cost center transfers, promotions and prepares employee relation documentation accordingly
- Audits employee data to ensure data integrity and takes necessary action in system, such as: outstanding business process tasks, work email addresses, emergency contact data, exit reasons, and new hire entries and takes appropriate actions in HRIS to ensure data integrity
- Accountable for maintaining data records pertaining to employee record tracking in paper or electronic filing.
- Processes HR vendor related invoices
- Generates standard HRIS reports as requested and assists in building analytics
- Prepares various employee letters in a timely manner outside of HRIS workflow (LOE, Business Visitor letters etc.)
- Coordinates and triggers voluntary post termination activities such as, exit interviews and surveys, post termination letters and departure checklists
Qualifications:
- Completion of a post-secondary diploma in Human Resources, Business or other relevant field, bachelor’s degree preferred
- Minimum 5 years of experience in employee benefits administration as well as in directly servicing plan sponsors and plan members required
- Proficient with Microsoft Office Suite, specifically Excel.
- Working knowledge of employee benefits and applicable laws.
- A strong understanding of applicable states and federal legislation
- Customer service focus – the ability to act tactfully, diplomatically and professionally
- Proven organizational and time management skills.
- Effective communication skills (both written and verbal) with individuals at all levels of the organization
Pay Range: $90,000 to $105,000
