Job Title: Account Operations Specialist

Department: Business Development

Location: Remote

Reports to: National Accounts and Business Development Manager

Position Summary: The Account Operations Specialist supports the National Accounts and Business Development team by managing financial collections, CRM administration, and operational coordination. This role ensures accurate order entry, timely collections, organized reward data, and high-quality data integrity within AIM’s systems. The ideal candidate is detail-oriented, proactive, and comfortable working across multiple platforms such as Infusionsoft/Keap and HubSpot.


Key Tasks and Responsibilities:


  • Collect past due amounts from distributor customers and supplier partners.
  • Update and maintain credit card information for recurring customer accounts.
  • Track and report on outstanding balances and assist with payment reconciliations.
  • Enter and manage customer orders in Infusionsoft/Keap.
  • Migrate Infusionsoft/Keap orders and data to HubSpot CRM.
  • Maintain CRM data integrity and perform administrative tasks in both systems.
  • Organize and track rebate data for National Accounts and suppliers.
  • Support day-to-day account management with distributor and supplier partners.
  • Manage and moderate AIM’s Facebook groups and online communities.
  • Collaborate with cross-functional teams to support business and data processes.
  • Assist in identifying and implementing process improvements across systems.

Knowledge and Experience:


  • 1–3 years of experience in administrative, financial coordination, or account operations roles.
  • Experience with CRM and marketing automation systems (HubSpot and Infusionsoft/Keap preferred).
  • Proficiency in Microsoft Office or Google Workspace tools.
  • Experience in the promotional products industry is a plus.

Education and Training:


Associate or bachelor’s degree preferred in business administration, communications, or related field.


Salary


$62,500-$65,000 based on level of experience
