Part‑Time Program Manager

This part‑time role averages 15 hours per week, with one full‑time week of domestic or international travel during our client-partner’s annual meeting. The Program Manager is an employee of AIM, an association management company headquartered in Reston, VA, and supports day‑to‑day operations for one of our scientific nonprofit association clients. This position suits a proactive, detail‑oriented professional who thrives in a fast‑paced, collaborative environment delivering high‑quality programs and committee activities.

Role Overview

The Program Manager works closely with leadership, volunteers, and members to coordinate scientific programs, manage committees, and support communications and events. Strong organization, clear communication, and the ability to manage multiple priorities are essential.

Key Responsibilities

• Coordinate communication, promotion, and implementation of meetings and educational activities.
• Support committees, including but not limited to, the Program Committee, Early Career Investigators Specialty Interest Group (SIG), Scientific Advisory Committee, and Local Organizing Committee.
• Prepare grant submissions and fundraising letters.
• Manage logistics for virtual and in‑person events.
• Oversee email marketing and collaborate with volunteers as needed.
• Support membership services and educational programs as needed.
• Manage committee activities year‑round and during the annual meeting.
• Produce, proofread, and distribute communications and publications.
• Coordinate audio‑visual and room requirements.
• Manage committee budgets and billing.
• Collaborate with staff to ensure program success.
• Lead speaker management for the World Summit.
• Support travel fellowship and award applicants; maintain award records.
• Process dues, assist members, and maintain database integrity.
• Administer surveys and report participation results.
• Support committee SOPs, meetings, minutes, and materials.
• Track undergraduate program participants and assist with travel and reimbursements.
• Contribute to long‑range planning and operational analyses.

Reporting Structure

• Reports to the Executive Director
• No supervisory responsibilities

Qualifications

• BS/BA preferred or equivalent experience
• 4–6 years of association or committee experience
• Intermediate–advanced Microsoft Office skills
• Exceptional written and verbal communication
• Strong interpersonal skills and comfort working with partners at all levels
• Ability to work independently and collaboratively in a fast‑paced environment
• High attention to detail, integrity, and ownership of projects
• Strong organizational and time‑management skills
• Familiarity with project management and collaboration tools
• Positive, solutions‑oriented mindset and adaptability

Work Environment & Travel

• Flexible schedule, hybrid work options

Pay: $32.00 - $36.00 per hour
