About the Department

Material Source is your partner in obtaining supplies for the making possibilities available at the School of the Art Institute of Chicago. Our stores provide convenient access to curriculum-driven and hard-to-source art materials across campus. We are located in or near many of SAIC’s art-making facilities to help you explore the various media the school engages in.

Position Summary

Supervise the daily operations of the Material Source department storefronts by hiring and managing student employees, coordinating deliveries and restocking, and assisting in maintaining an accurate inventory of Material Source storefronts and storage spaces.

Responsibilities

Staff Administration

• Hires, trains, supervises and provides leadership for student employees working in Material Source in coordination with the Assistant Director. Submit work authorizations and approve timesheets.
• Coordinates student worker schedule to maintain regular hours for all Material Source storefronts.
• Reconciles Point of Sale (POS) transactions by running daily reports and investigating any discrepancies. Provides additional corrective training to students as needed.

Orders and Delivery Coordination

• Places orders for materials throughout the semester in coordination with the Material Source team. Reconciles payments in the school’s expense management software and inventories all orders using the POS software.
• Manages logistics of ordering, receiving and distributing bulk materials to and from campus. Coordinates with vendors, truck drivers, contractors and IRFM staff to ensure materials are received, restocked and moved safely using proper personal protective and material handling equipment.
• Collaborates with partner departments such as Instructional Fabrication to ensure materials are stocked and delivered without disruption to operations.
• Assists Manager of Inventory & Administration with distribution of stock to storefronts.

Branding and Appearance

• In coordination with Assistant Director, maintain consistent branding for Material Source website, storefronts, promotional materials and signage.
• Ensures storefronts are neatly maintained, items are properly packaged, labelled, fully stocked and ready for customers.

Qualifications

• Minimum High school diploma or GED equivalent required.
• 1–2 years of relevant experience in a visual arts studio, university art department or similar environment preferred
• Excellent communication, organizational skills and customer service
• Valid driver's license, ability to drive required
• Computing skills such as Word, Excel, and using databases
• Familiarity with a variety of art making and construction materials

Physical Requirements

• Almost daily lifting with assistance of various goods of up to 100 lbs. each
• Daily bending and twisting
• Frequent pushing of a cart or of up to 500 lbs.
• Frequent lifting of 25 lbs. from floor height to a shelf 4’ high
• Frequent walking several blocks between SAIC buildings
• Ability to operate manual or powered hand pallet jacks, forklifts, banding tools, hand tools
• Ability to climb a short ladder

The expected hiring range is an estimated amount for positions based on the grade. Final offers are based on various factors, including skill set, experience, qualifications and other job-related reasons.
