General Purpose:
The Administrative Assistant is responsible for the day-to-day administrative functions in AVE-PLP locations. This position provides excellent customer service both to AVE-PLP customers and employees. The Administrative Assistant reports to the Store Manager.
Essential Functions:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - Answers the phone and directs customer calls to the appropriate department or person.
- Greets and assists customers.
- Makes daily deposits and balances cash.
- Assists departments as necessary including organizing and planning employee meals and meetings.
- Helps with custodial duties as needed throughout the location.
- Prepares payables for payment and scans sales reports to be sent to the Corporate Office.
- Allocates unapplied credits to accounts receivable.
- Provides administrative support to the store manager.
- Assists corporate in maintaining employee and AVE-PLP vehicle information for DOT purposes as well as obtaining vehicle license tags and registration for AVE-PLP vehicles.
- Files invoices and documents and maintains files.
- Supports the parts department by assisting with inventory, pulling parts for customers, stocking shelves in the showroom and delivering parts as needed.
- Creates new customer accounts and assists in maintaining, updating, and coding current customer accounts.
- General lot maintenance including mowing.
- Manage Dealer Inventory Tracking for location.
- Help coordinate school recruiting efforts.
- Orders supplies for the store.
- Retrieves, sorts, and distributes the mail.
- Performs other duties as required and necessary to ensure the success of AVE-PLP.

- Ability to safely drive a forklift.
Education:
- High School Diploma or General Education Diploma (GED) equivalent is required.
Experience:
- One year of customer service experience is preferred.
- One year of experience completing administrative tasks is preferred.
- An equivalent combination of education and experience may be substituted on a year for year basis.
Additional Requirements/Licenses/Certifications:
- Must have reliable transportation.
- Must have a valid driver’s license.
- Passing a driving record (MVR), criminal history background checks, employment verification, and drug screen will be required prior to the start of employment.
