The State of New Hampshire, Department of Agriculture, Markets, and Food, Division of Agricultural Development has a full-time vacancy for 43-6010 Administrative Assistants-2.

Summary:

To serve as a Front Office Administrative Assistant, ensuring the smooth and efficient functioning of department operations while delivering exceptional customer service. This role includes providing comprehensive support for various functions, such as preparing and distributing the Weekly Market Bulletin, to enhance overall departmental communication effectiveness.

YOUR EXPERIENCE COUNTS: Each additional year of approved formal education may be substituted for one year of required work experience and/or each additional year of approved work experience may be substituted for one year of required formal education. 

MINIMUM QUALIFICATIONS:

Education/Experience: High school diploma or equivalent credential. Education and experience must include office or business, administrative assistance, office operations or clerical support, customer service, hospitality, retail or related field.

License/Certification: None

PREFERRED QUALIFICATIONS: Preference will be given to candidates with experience with a working knowledge of Microsoft Office Suite programs, such as Word, Excel, Publisher, PowerPoint, and Access. Familiarity and use of office equipment, email communication and scheduling tools.

Responsibilities:

DETAILED TASKS (AGENCY/POSITION-SPECIFIC):

Operate the department switchboard, answer incoming calls, and direct callers to appropriate divisions or staff. Greet visitors, provide information, and assist with departmental inquiries. Serve as the main receptionist for the department and interact professionally with colleagues, clients, and visitors.

Respond to general questions from the public regarding Weekly Market Bulletin subscriptions, advertising opportunities, and editorial content. Serve as the primary point of contact for departmental inquiries related to the Bulletin.

Process new subscriptions, renewals, cancellations, and payments for the Weekly Market Bulletin. Add, update, or delete subscriber information in the master database. Prepare and transmit updated subscriber files for digital mailing to the mailing contractor. Maintain ongoing communications with the mailing contractor to ensure timely and accurate mailing.

Process subscription payments via cash, check, and credit card. Manage and reconcile transactions within the credit card processing system. Generate and maintain reports related to payment transactions for record-keeping and auditing purposes.

Perform various clerical tasks including filing, data entry, and document preparation. Schedule meetings, conferences, and departmental activities, including reserving meeting spaces. Assist other divisions within the Department of Agricultural Development as needed and as time allows.

Receive, open, and distribute daily departmental mail. Handle mail related to the Weekly Market Bulletin and other departmental publications as directed.

Operate and maintain office equipment such as computers, printers, copiers, and credit card machines. Ensure all equipment is functioning properly and troubleshoot minor issues as needed.
