Job Summary
The Safety, Risk & Insurance Specialist is responsible for supporting the company’s workplace safety, OSHA compliance, risk-management, and insurance programs. This position will help develop and enforce safety procedures across the company’s yards, warehouses, and administrative offices. The specialist will also coordinate insurance claims, policy renewals, and communication with insurance brokers, carriers, adjusters, and other third parties.
Key Responsibilities
- Monitor company operations for compliance with OSHA requirements and other applicable workplace safety regulations.
- Develop, maintain, and update safety policies, procedures, manuals, and emergency-response plans.
- Conduct regular safety inspections of company yards, warehouses, offices, equipment, and work areas.
- Identify workplace hazards and recommend corrective and preventive actions.
- Track corrective actions and follow up with the appropriate departments to ensure safety concerns are resolved.
- Coordinate employee safety training, emergency drills, first aid/CPR training, and other required programs.
- Maintain records of safety inspections, training, incidents, corrective actions, and OSHA-related documentation.
- Investigate workplace accidents, injuries, property damage, and near-miss incidents.
- Prepare incident reports and help identify the root causes of accidents.
- Manage and monitor workers’ compensation, vehicle, property, general liability, and other insurance claims.
- Coordinate workers’ compensation claims with HR, insurance carriers, brokers, adjusters, and medical providers. Assist with incident investigations, claim documentation, status tracking, and safety-related corrective actions. HR will retain responsibility for employee leave, accommodations, payroll, benefits, and employment decisions.
- Report claims to the appropriate insurance carrier, broker, or third-party administrator.
- Communicate with employees, supervisors, adjusters, medical providers, attorneys, and insurance representatives regarding open claims.
- Maintain accurate claim files and monitor deadlines, documentation, and claim status through closure.
- Support annual insurance renewals by collecting applications, loss runs, payroll information, vehicle schedules, property information, and other required documentation.
- Review insurance documents, policies, certificates of insurance, and renewal information for accuracy.
- Maintain organized records of insurance policies, claims, certificates, inspections, and safety documentation.
- Monitor insurance policy expiration dates and renewal deadlines.
- Assist with risk assessments and recommend practices that may reduce workplace injuries, property damage, claims, and insurance costs.
- Serve as a point of contact for workplace safety and insurance-related matters.
- Perform other related duties as assigned.
Qualifications
- Previous experience in workplace safety, OSHA compliance, risk management, insurance, claims administration, or a related field is preferred.
- Knowledge of OSHA regulations and general workplace safety practices.
- Experience in handling workers’ compensation or other insurance claims is preferred.
- Strong organizational, documentation, and follow-up skills.
- Strong written and verbal communication skills.
- Ability to conduct inspections, identify hazards, and recommend practical solutions.
- Ability to handle confidential employee and claim information.
- Strong attention to detail and ability to manage multiple deadlines.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Bilingual in English and Spanish is required.
- Valid driver’s license and ability to travel between company locations as needed.
Preferred Skills and Certifications
- OSHA 10-hour or OSHA 30-hour certification
- First Aid/CPR certification
- Experience with safety training and emergency-preparedness drills
- Knowledge of workers’ compensation procedures
- Experience coordinating with insurance brokers, carriers, and adjusters
- Knowledge of commercial auto, general liability, property, and occupational accident insurance
- Risk assessment and incident-investigation experience
Physical and Work Requirements
- Ability to work in office, warehouse, and outdoor yard environments.
- Travel between locations as needed.
- Ability to walk through operational areas and conduct routine safety inspections.
- Ability to occasionally stand, bend, climb stairs, and lift materials related to inspections or training.
- May be exposed to noise, moving vehicles, equipment, varying weather conditions, and other conditions commonly found in transportation and warehouse environments.
- Must follow all required personal protective equipment and safety procedures.
