General Summary: Leads a team responsible for managing current and historical college student academic records in compliance with all state and federal higher-education regulations and enrollment reporting requirements. Serving as student-data administrator of the Ellucian Colleague Student Information System (SIS), the Registrar manages all student SIS processes to ensure accuracy and integrity of undergraduate and graduate transcripts, from matriculation to graduation. SIS administration involves responsibility for curriculum management and course scheduling, student registration and degree audits, grade/gpa integrity, conferral of Bachelor's and Master's degrees, and official reporting of data to internal and external constituents. The Registrar plays a critical role in college academic operations by establishing processes for the consistent administration of college policies and procedures as they relate to academic recordkeeping, as well as compliance with FERPA regulations, legal subpoenas, and required audits of student enrollment. The Registrar collaborates closely with faculty, college officials, and Information Technology professionals to ensure accurate, secure and confidential student recordkeeping. The Registrar reports to the AVPAA.
Essential Job Functions
- Data and SIS Management: Generate management reports, conduct data analysis, and provide critical insights for administrative decision-making using the Ellucian Colleague SIS. Approves and monitors implications of system software updates and releases of information in collaboration with Information Technology Service.Supports SIS infrastructure for required annual updates to semester timelines, curriculum components, course scheduling, course registration activities, and end-of-semester processing of final grades, academic standings, honor lists, probation lists, and degree conferrals.
- Staff Leadership: Manage training and performance of professional and support staff within the Registrar's Office, ensuring smooth day-to-day operations and confidentiality. Stay current with developments in the field of higher education and provide expert guidance on best practices to staff and administration.
- Collaboration: Engage with advisory committees, participate in College-wide committees, and consult with other departments or officials as needed. This includes, but is not limited to, serving as a voting member of the undergraduate Curriculum Committee, the Judicial Review Committee, and the SARRFA leadership team by providing enrollment statistics as needed.
- Policy Development and Compliance: Create, implement, and interpret policies related to the Registrar's Office and broader university operations. Includes preparation and maintenance of undergraduate catalog as well as undergraduate and graduate academic calendar and contact-hour accreditation compliance.
- Student Information: Maintains student enrollment statuses and collaborates closely with and supports data reporting requirements of the Offices of Financial Aid and Institutional Research. Verifies completion of degree and certificate requirements. Tracks eligibility for, preparation and execution of commencement.
REQUIREMENTS
Education: Bachelor's degree required; Master's degree preferred.
Experience: Minimum of 5 years of related work experience in an academic environment, Registrar's Office experience required.
Knowledge/Skills/Abilities:
- Working knowledge of current and former college academic policies, FERPA law, GDPR, and higher-education best practices while employing and ensuring the highest level of confidentiality during internal and external interactions and communications.
- Proficiency with the Ellucian Colleague SIS, Entrinsik Informer, and other standard college software platforms.
- Ability to take initiative, execute with excellence, function independently, multi-task consistently, and meet deadlines.
- Excellent communication skills and flexibility when working with students, faculty, staff, and external constituents.
- Strong organizational and collaborative skills, attention to detail, committed work ethic, and strong data analysis expertise.
PHYSICAL DEMANDS
Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is performed in an office.
