The Opportunity

With excellent communication skills and an upbeat outlook, the Sales Coordinator supports the Company with a variety of duties and will promote efficient operations of the office and accurate and timely flow of information. Under the direction of the Sales Manager, this position will be prepared to respond to and meet challenges through providing support to all internal and external customers. Handling confidential and time-sensitive information will be involved. Effective communication via phone, email, MS Teams, and in person is required. Attention to detail is essential. Work as a team for timely and accurate Order Entry. Responsible for answering/directing incoming phone calls while reflecting a positive image for the company. Duties include Order Entry, AR cash receipts, mail collection and distribution, assembly and distribution of building drawings, and completing creative design projects with professional output.

Responsibilities:

• Communicate with purchasing buyout items and lead times
• Mail out samples and literature to dealers
• Act as the lead with order entry duties, PO’s, etc.
• Execute and complete change orders, consult with salesperson as needed
• Operate a multiline telephone system to answer, screen and forward calls to appropriate personnel in a professional and friendly manner. Provide general information.
• Monitor Sentinel’s general voicemail box.
• Set phone status for Day/Night service.
• Greeting people entering our establishment, determining nature and purpose of visit, and direct or escort them to specific destinations.
• Responsible for ensuring visitors sign in and are following applicable visitor rules such as COVID requirements.
• Assemble Building Erection drawings and distribute ship packets to certified engineers as required per sales contract &/or engineering instructions and print red jacket documents.
• Assist with Anchor Bolts and Certified Drawings.
• Label and record component orders.
• Handle incoming & outgoing mail regarding hours of operation for the post office and couriers.
• Collect, sort, distribute, and prepare mail.
• Coordinate courier deliveries.
• Maintain postage funds in postage machines.
• Process UPS shipments and end-of-day report.
• Distribute incoming mail from the Sentinel plant.
• Process AR payments and record receipts.
• Report new order down payments.
• Order and maintain literature, office supplies, and toner/printer supplies.
• Responsible for updating spreadsheets with expenses.
• File and maintain records daily.
• Assist with keeping the storage room, office supply cabinets, and storage cabinets/closets organized.
• Assist others with projects as needed and approved by the Sales Manager.

Qualifications:

• 6 plus months of experience
• Microsoft Excel, Microsoft Word, PowerPoint, Internet browsers and Data Entry. General knowledge of Windows 7 and/or 10.
