The Enrollment Coordinator is a community-facing role responsible for engaging families, students, and community partners to drive enrollment. This position is highly mobile and will staff information tables (“tabling”) across more than 30 school sites and several city agency offices. The Coordinator organizes on‑site outreach, answers questions about eligibility and programs, assists with application completion, and ensures accurate, timely data entry. The role requires excellent customer service, strong logistics skills, and comfort working in fast‑paced, public environments.
- Location/Travel: Citywide; frequent travel between 30 schools and multiple city agency offices
- Schedule: Weekdays with regular early morning starts or late afternoons; occasional evenings/weekends for events
- Work environment: On-site at schools and agency offices (indoor/outdoor tabling), plus administrative time at a central office
- Reports to: Enrollment/Outreach Manager (or equivalent)
Position Summary
As an Enrollment Coordinator, you will be the primary on‑site representative for our enrollment process—setting up and staffing outreach tables, building relationships with school staff and city agency partners, and guiding families from first contact to completed applications. Approximately 70–80% of your time will be field-based, with the remainder dedicated to follow‑up, data entry, scheduling, and preparation. You will maintain a consistent presence across assigned sites, ensure branded materials and sign‑up systems are in place, and track outreach and enrollment metrics to meet weekly and monthly targets.
Key Responsibilities
Tabling & Outreach
- Staff information tables at 30 schools and multiple city agency offices; greet families and community members, provide program information, and answer questions.
- Set up/break down tabling stations (table, signage, literature, devices); maintain a clean, welcoming presence.
- Conduct brief presentations or informal info sessions as requested by site leadership.
Family Support & Enrollment
- Assist families with eligibility screening and application steps; provide language-appropriate resources and referrals.
- Offer on‑the‑spot help using tablets/laptops/QR codes; schedule follow‑up appointments for complex cases.
Partnerships & Site Coordination
- Build and sustain positive relationships with principals, school support staff, and agency contacts; respect site protocols and security procedures.
- Coordinate site calendars, confirm tabling locations, and secure necessary approvals and access badges.
Date, Reporting & Compliance
- Capture leads digitally (e.g., CRM, forms) and complete same‑day data entry with high accuracy.
- Track and report daily outreach volume, conversion progress, and show rates; raise barriers and trends to the manager promptly.
- Follow all privacy and data‑security requirements when handling sensitive student/family information.
Logistics & Materials
- Manage inventory of flyers, forms, swag, and signage; request replenishments ahead of need.
- Transport materials between sites; ensure devices are charged and connectivity is available (e.g., hotspot).
Quality & Continuous Improvement
- Test and refine tabling scripts, signage, and follow‑up workflows to improve conversion.
- Participate in trainings; support onboarding of seasonal staff or volunteers as needed.
Desired skills & Experience
- 1–3 years in outreach, community engagement, enrollment/admissions, customer service, or related front‑line role.
- Comfortable working across many locations daily; reliable transportation and ability to navigate between sites on schedule.
- Outstanding interpersonal and communication skills; able to engage diverse families with warmth and clarity.
- Proven organizational skills: time-blocking, multi‑site scheduling, and meticulous follow‑up.
- Tech‑savvy: confident with tablets/laptops, email, calendars, spreadsheets, and a CRM (e.g., Salesforce, Airtable, HubSpot) for lead capture and tracking.
- Fluency in English & Spanish (non-negotiable); additional languages common in the community are a strong plus.
- Able to stand for extended periods and lift/carry up to ~30 lbs for event setup.
- Familiarity with school or public‑agency settings and comfort following site security and visitor protocols.
- High standards for data accuracy and confidentiality; awareness of student/family privacy expectations.
