Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our team of LGBTQ , BIPOC, and neurodiverse affirming providers at Affirming You Therapy. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include providing administrative support, managing practice-related communications, and assisting with various organizational and logistical tasks. This is a full-time position with competitive pay and benefits.
Responsibilities:
- Foster a welcoming, affirming environment for clients, stakeholders, and community partners
- Greet clients and direct them to the appropriate person
- Manage phone calls, emails, letters, packages, and other forms of correspondence
- Support coordination of care and records requests
- Manage client insurance and billing processes in a timely manner
- Support bookkeeping and budgeting procedures for the practice
- Carry out general clerical duties, manage office supplies, organize practice documents
- Schedule appointments and maintain calendars for clinicians
- Coordinate meeting and event logistics and ensure ask follow-up
- Represent Affirming You Therapy at community meetings
- Prepare correspondence, reports, and presentations as needed
- Provide additional administrative support to practice clinicians and interns

- Strong organizational abilities with attention to detail
- Proficiency in managing office tasks efficiently
- Adaptability to changing priorities
- Experience in coordinating schedules and appointments
- Familiarity with office software (e.g., Microsoft Office Suite, Adobe) and equipment
- Knowledge about relevant privacy, confidentiality, and mandated reporting laws
- Ability to handle confidential information with discretion
- High School Diploma or equivalent
Preferred Qualifications
- Bachelor’s or associate's degree or combination of high school diploma / equivalent and relevant work experience
- Bilingual (Spanish/English) candidates are strongly encouraged to apply.
- Knowledge of the LGBTQ community and resources is a plus.
- Previous health care or administrative experience is preferred.
Job Type: Full-time
Pay: $17.61 - $18.27 per hour
Expected hours: 40 hours per week
