Aesthetic Mentor is dedicated to developing safe, effective, and successful medical aesthetic providers through specialized education and training. The organization serves a wide range of licensed medical professionals in the art and practice of non-surgical injectables, PRP therapies, vascular procedures, and other aesthetic treatments. Students gain access to a robust online learning center combined with extensive hands-on clinical experience that is difficult to find elsewhere in the field. Small clinic sizes and a 2:1 student-to-teacher ratio ensure individualized attention and personalized guidance. A Student Advisor team supports learners in building their skills and advancing their careers in medical aesthetics.


Role Description:

The Program Manager will assist in the planning, execution, and evaluation of various

programs within the organization as well as overseeing the day-to-day operations of the

Aesthetic Mentor facility, ensuring that all programs, events, and services are executed

efficiently and at the highest quality. This role involves coordinating activities, managing

schedules, and providing administrative support to ensure the smooth operation of

programs.


Essential functions:

  • Oversee and optimize the student advisor recruitment and enrollment processes.
  • Develop, implement, and enforce scalable admissions systems, workflows, and best practices to improve lead conversion and class fill rates.
  • Analyze enrollment data and conversion metrics to identify opportunities for growth.
  • Monitor lead quality, response times, and conversion rates.
  • Develop templates and follow-up cadences to ensure a consistent student advisor experience.
  • Collaborate with the marketing team to align marketing and social media strategies to drive recruitment, retention, and conversion and ensure proper messaging
  • Collaborate with the marketing team to align campaigns, messaging, and lead sources with enrollment goals.
  • Work with management to develop and implement clear, reproducible systems for operation, management, and curriculum
  • Create and foster relationships with vendors, partners, and other influential associates
  • Consistently increase sales and support expansion
  • Monitor and reconcile product usage during clinics
  • Assist with streamlining class offerings and schedules
  • Collect survey data and forecast industry demand
  • Coordinate logistics for program events, workshops, and meetings
  • Oversee daily operations of the facility, ensuring classes, events, and clinical sessions run smoothly.
  • Assist in the evaluation of program effectiveness and identify areas for improvement.
  • Collaborate with Clinical Manager on curriculum development.
  • Monitor, maintain, and update website and online resources.
  • Manage inventory, supplies, equipment, and facility maintenance for each organization.
  • Create and manage staff schedules, ensuring adequate coverage for all events and training sessions.
  • Provide leadership and mentoring to ensure staff members are engaged, efficient, and motivated.
  • Attend industry events and trainings for personal and school development
  • Enhance overall experience for staff, students, and models to drive recruitment, retention, and conversion
  • Manage staff, including hiring, training, performance evaluations, and disciplinary actions as necessary.
  • Oversee time and attendance policies, approve timesheets for employees ensuring proper tracking of hours worked, and manage time off requests.

  • Understanding of clinical aspects and compliance of industry. Not responsible for making clinical decisions.
  • Is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Supervisory Responsibilities: Clinic Coordinators, Model Lab Manager, and Student Advisors (MA/CT Locations)


Physical Requirements:

  • The ability to stand for prolonged periods of time
  • The ability to climb stairs or ramps 
  • The ability to touch, pinch, or pick with fingers, or to grasp, hold, or turn large
  • objects 
  • The ability to hear, understand, and distinguish speech and/or other sounds 
  • The ability to see near, far, or peripherally 
  • Must be able to lift up to 20 pounds at times


Travel required: Occasional


Required Education and Experience:

  • Bachelor’s degree preferred
  • Experience in Sales and Marketing preferred
  • Experience in Business Administration, Operations Management, or a related
  • field preferred
  • Experience in the medical or aesthetic industry is a plus.
  • Experience with Salesforce and Cvent are a plus.
