Customer Service Representative
Aesthetic Lab, Inc | Part-time
Aesthetic Lab is looking for a friendly, proactive, and detail-oriented Customer Service Representative to join our team. This role is essential in creating a welcoming and seamless experience for our patients , from the first phone call to checkout. The ideal candidate is personable, organized, and comfortable multitasking in a fast-paced environment.
Key Responsibilities:
- Answer incoming calls, respond to inquiries, and provide exceptional patient support
- Make outbound calls to follow up on patient leads, appointments, and inquiries
- Schedule, confirm, and manage patient appointments
- Build strong relationships with patients by delivering a high level of customer service
- Accurately collect payments, process transactions, and manage gift card purchases
- Assist patients with third-party financing options and payment plans
- Maintain and update patient records in Zenoti
- Utilize EMR systems to ensure accurate and compliant documentation
- Use Microsoft tools (Excel, Outlook, Word) for communication, tracking, and reporting
- Follow up with patients as needed to ensure satisfaction and retention
- Support front desk operations and maintain a clean, organized workspace
- Take initiative in assisting team members and improving overall patient experience
Qualifications:
- Previous customer service experience required (medspa, healthcare, or hospitality preferred)
- Experience with EMR systems or similar platforms strongly preferred
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Strong communication and interpersonal skills
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable handling payments and financial transactions
- Positive, professional, and team-oriented attitude
- Strong attention to detail and follow-through
- Ability and willingness to travel between locations, including Modesto, Turlock, and Stockton as needed
