What are the responsibilities and job description for the Practice Manager position at Aesha Aesthetics?
Aesha Aesthetics is a new physician-owned luxury medical aesthetics practice opening in Jacksonville. Founded and led by a board-certified physician with fellowship training in aesthetic and integrative medicine, we're building a practice around one principle: the difference is the doctor. We're looking for a Practice Manager to run day-to-day operations from launch forward — someone who treats the practice like their own and holds the same standard of excellence in the front office that we hold in the treatment room.
What you'll do
- Own daily operations: scheduling, patient flow, opening/closing procedures, and the overall patient experience from first phone call to follow-up
- Manage the practice management and EHR systems, including charting compliance, consent workflows, and photo documentation standards
- Oversee inventory and vendor relationships for injectables, skincare lines, and clinical supplies, including ordering, tracking, and cost control
- Handle billing, payment processing, membership program administration, and daily reconciliation
- Recruit, train, and supervise front desk and support staff; build the service culture from day one
- Support marketing execution — coordinating with our agency on promotions, events, and social content, and tracking lead-to-consult conversion
- Ensure regulatory and HIPAA compliance across all operations
What we're looking for
- 3 years of management experience in a med spa, dermatology, plastic surgery, or aesthetics practice (strongly preferred) or comparable luxury service environment
- Hands-on experience with aesthetics practice software (Aesthetic Record, Boulevard, or similar)
- Polished, warm, and discreet — you'll be the face of a luxury patient experience
- Strong financial instincts: comfortable with P&L basics, KPIs, and inventory margins
- Self-directed and calm under pressure; startup or new-practice launch experience is a plus
