Job Summary
We are seeking a highly motivated and detail -oriented Flight Coordinator/Sales Specialist to join our air ambulance team. In this dual role position, you will manage client relationships, coordinate complex medical transport logistics company headquartered in San Diego (east county) is looking for a motivated individual to join our team. and organizational skills will propel our clients’ travel experiences to new heights! In this energetic role, you will coordinate flight arrangements, and deliver exceptional customer service.
Key Responsibilities
Sales & Client Relations
- Serve as the primary point of contact for incoming inquiries (patients, families, hospitals, case managers, and insurers)
- Provide accurate quotes and explain air ambulance services, pricing, and logistics
- Build trust with clients during sensitive and time-critical situations
- Follow up on leads and maintain a strong conversion rate
- Develop and maintain relationships with healthcare facilities and referral partners
Flight Coordination & Operations
- Coordinate all aspects of medical flights, including aircraft scheduling, crew arrangements, and ground transportation
- Liaise with medical teams, pilots, and logistics partners to ensure safe and timely transport
- Prepare and review flight documentation, permits, and patient requirements
- Monitor flights and proactively address any operational changes or delays
- Ensure compliance with aviation regulations and company policies
Customer Experience
- Deliver exceptional service with empathy and professionalism
- Keep clients informed throughout the entire transport process
- Handle sensitive situations with discretion and urgency
- Collaborate with clients to understand their preferences and requirements, offering expert advice on flight options, routes, and schedules
- Provide exceptional customer service by addressing inquiries, resolving issues promptly, and maintaining ongoing communication throughout.
- Maintain detailed records of all transports, client interactions, and preferences for future reference
Preferred Qualifications
- Experience in air ambulance, healthcare logistics, or aviation industry
- Knowledge of medical terminology or patient transport requirements
- Excellent communication skills with the ability to build rapport quickly and effectively
- Experience in sales, aviation operations, medical transport, or a related field
- Strong communication and interpersonal skills
- Ability to multitask and work under pressure in time-sensitive situations
- Excellent organizational and problem-solving abilities
- Proficiency in CRM systems and Microsoft Office (or similar tools)
- Availability to work flexible hours, including nights/weekends if needed
