Job Overview
We are seeking a dynamic and detail-oriented Bookkeeper / Administrative Assistant to join our team. In this vital role, you will be responsible for maintaining accurate financial records, managing bookkeeping tasks, and providing essential administrative support to ensure smooth daily operations. The ideal candidate will be proactive, organized, and possess a strong understanding of Quickbooks accounting software, financial concepts, and Excel spreadsheets.
Duties
- Manage day-to-day bookkeeping activities including data entry, account reconciliation, and ledger maintenance using Quickbooks and Excel spreadsheets.
- Perform bank reconciliations and ensure all financial transactions are accurately recorded in accordance with GAAP (Generally Accepted Accounting Principles).
- Prepare and process journal entries, accounts payable and receivable, and payroll functions with precision.
- Conduct balance sheet reconciliation and general ledger accounting to ensure financial accuracy and integrity.
- Assist with budgeting processes and financial report writing to support organizational planning and decision-making.
- Maintain accurate records of accounts payable and receivable, including invoice processing, bill payments, and collections.
- Support tax preparation activities by organizing financial documentation and ensuring compliance with relevant regulations.
- Handle administrative tasks such as managing correspondence, scheduling appointments, maintaining filing systems, and performing 10 key typing for data entry accuracy.
- Collaborate on account analysis and general ledger reconciliation to identify discrepancies or errors promptly.
Skills
- Proven experience with Quickbooks accounting software.
- Proven experience with Excel spreadsheets.
- Strong understanding of corporate accounting principles, and GAAP compliance.
- Expertise in double entry bookkeeping, journal entries, account reconciliation (including bank reconciliation), and general ledger management.
- Knowledge of accounts payable/receivable processes, payroll administration, tax experience, and budget management.
- Familiarity with financial concepts such as debits & credits, balance sheet reconciliation, account analysis, and financial report writing.
- Ability to perform 10 key typing accurately at high speed for data entry tasks.
- Excellent organizational skills with keen attention to detail in record-keeping and documentation.
- Strong analytical skills for account analysis and troubleshooting discrepancies effectively.
- Effective communication skills to collaborate across teams and explain technical accounting information clearly.
