As a Proposal Coordinator, you’ll own proposals from start to finish, typically juggling 2–4 active pursuits at a time with turnaround windows ranging from 2–4 weeks.
Responsibilities
- Lead and manage the proposal process from kickoff through submission, ensuring deadlines, quality standards, and compliance requirements are met
- Support and guide the Go/No‑Go process, assisting business leaders in making informed pursuit decisions
- Facilitate proposal kick‑off meetings and coordinate input from Proposal Managers, SMEs, and reviewers
- Develop outlines, schedules, and milestone plans to keep proposal teams on track
- Review RFPs/RFQs to ensure all requirements are addressed and incorporated
- Coordinate technical content, resumes, project descriptions, and supporting materials
- Use Adobe Creative Suite to layout proposals, create graphics, and maintain brand standards
- Collaborate with the team on pursuit strategy, differentiators, and positioning
- Support interview preparation, including interview strategy, presentations, and leave‑behind materials
- Help maintain proposal archives, CRM entries, and master resume files
- Step in to support team members during peak deadlines—this is a true team‑first environment
- Bachelor’s degree in Communications, Marketing, Journalism, English, or related field required.
- Proficient in Adobe InDesign, Illustrator, and Photoshop, as well as Microsoft Word, PowerPoint, and Excel.
- Ability to be flexible, maintain a positive attitude, and work collaboratively to develop a team environment.
- Excellent communication, interpersonal, and organizational skills.
- Demonstrated attention to detail with strong grammar, spelling, composition, and proofreading abilities.
- Basic understanding of design principles.
- Ability to multi-task, work under the pressure of a deadline-driven environment and occasionally work over-time to meet client needs.
- All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations.
- Proficient with CRM (Deltek, Vantage Point preferred).
- 2-5 years’ experience with proposals, ideally in an AEC firm.
- Strong interest in learning about the engineering industry.
- Primary functions require physical ability and sufficient mobility to work in an office setting
- Ability to stand or sit for prolonged periods of time
- Occasionally stoop, bend, kneel, crouch, reach, and twist
- Occasionally lift, carry, push, and pull light to moderate amounts of weight
- Operate office equipment requiring repetitive hand movement
- Fine coordination including the use of a computer keyboard
- May require lifting and carrying up to 20 pounds, with rare lifting of up to 50 pounds
- May require occasional evenings and weekends with overtime expectations varying with workload
- May be required to travel to off-site locations including occasional overnight stays out of town
