Imber Wealth Advisors located in Ann Arbor, MI is looking for a Front Desk Coordinator to be the face and heartbeat of our office. What You’ll Do
As our Front Desk Coordinator, you’ll set the tone for every in-office interaction and keep the operational details of our workspace running effortlessly. Your days will be organized, welcoming, and highly impactful. Responsibilities include:
First Impressions amp; Client Welcome
- Serve as the first point of contact for all clients, guests, and visitors — in person and by phone
- Create a warm, professional, and calm front-desk experience
- Greet clients by name and ensure they feel welcomed, comfortable, and cared for
- Maintain a client-ready lobby and conference rooms at all times
- Support meeting hospitality (refreshments, room setup, flow)
Office Environment Management
- Own the day-to-day organization and appearance of the office
- Maintain a welcoming, polished lobby throughout the day
- Ensure magazines are current, relevant, and neatly stocked
- Coordinate fresh flowers weekly and maintain presentation throughout the week
- Keep the client menu updated, accurate, and aligned with firm standards
- Manage incoming and outgoing mail, packages, and deliveries
- Create and manage FedEx/UPS labels, shipments, and returns
- Order and maintain office supplies, snacks, and materials
- Monitor inventory and anticipate office needs before issues arise
- Coordinate basic vendor interactions and office-related logistics
Organization, Systems amp; Follow-Through
- Maintain clear processes for front office operations
- Ensure shared spaces, supplies, and materials are consistently organized
- Track office-related tasks and follow through to completion
- Support documentation and simple tracking related to office operations
- Proactively notice and address small details that impact the client experience
Team Support amp; Collaboration
- Partner closely with Client Service, Marketing, and Advisors to support smooth office flow
- Provide front-office support during peak times and team absences
- Participate in cross-training to support team continuity
- Assist with in-office events, meetings, and special initiatives as needed

- Exhibits meticulous attention to detail and a commitment to accuracy

- Excellent communication; written and verbal
- Self-starter who takes initiative and works well independently
- Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters

Schedule:
- In office: Monday – Thursday, 9am-5pm and Friday 9am-3pm
