The Company:
A high-end luxury commercial real estate investment and management firm headquartered in Midtown near Grand Central, is seeking an Administrative Assistant to support the daily operations of their corporate office. The firm takes a hospitality-driven approach to commercial real estate, which is reflected in both its workplace culture and the high level of service provided to tenants, clients, and colleagues. The Role:
The Administrative Assistant role offers a unique blend of office operations, administrative support, and exposure to executive-level responsibilities. Serving as a central member of the corporate office, this individual will help ensure the smooth day-to-day functioning of the workplace while partnering with leadership, vendors, and internal teams across the organization. Responsibilities span office operations, facilities coordination, vendor management, meeting and event support, and administrative assistance. The role also serves as backup to a C-level Executive Assistant, providing exposure to calendar management, travel coordination, and special projects. The ideal candidate is polished, proactive, and highly organized, with a service-oriented mindset and a desire to grow within a collaborative, professional environment.
Responsibilities:
- Coordinate office operations and workplace services, helping to maintain an efficient, organized, and welcoming corporate environment.
- Serve as a key point of contact for visitors, clients, tenants, and vendors, ensuring a polished and professional experience that reflects the firm's hospitality-driven culture.
- Coordinate meetings, conference room schedules, catering, and visitor accommodations for internal and external stakeholders.
- Provide administrative support to senior leadership and serve as backup to a C-level Executive Assistant, assisting with calendar management, travel arrangements, expense reporting, and special projects.
- Manage office and pantry inventory, vendor relationships, and supply procurement to support daily business operations.
- Oversee incoming and outgoing mail, and package logistics, ensuring timely and accurate distribution.
- Maintain and improve administrative processes, filing systems, and operational procedures to enhance office efficiency and organization.
- Liaise with building management, service providers, and external vendors regarding office maintenance, facilities matters, and workplace initiatives.
- Assist with company events, employee engagement activities, and other projects that contribute to a positive and collaborative office culture.
- Support cross-functional teams with ad hoc administrative, operational, and project-related initiatives as the business continues to grow.
Qualifications:
- 2 years of administrative or front-office experience, preferably in real estate, finance, or a professional services environment.
- Strong communication, organizational, and interpersonal skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace (Calendar, Docs, Sheets, Slides).
- Professional, polished demeanor with a proactive, team-oriented approach.
- Ability to multitask and prioritize effectively in a dynamic office setting.
Compensation: $65k-$80k plus Bonus, Company Paid Benefits, and 401K (with automatic match)
