We are seeking a Licensing Administrator to oversee company licensing processes, ensuring full compliance with applicable laws and regulations through accurate recordkeeping and thorough documentation. This role works closely with employees, new hires, regulatory agencies, and management to coordinate licensing requirements efficiently. The Licensing Coordinator is essential in facilitating communication, monitoring deadlines, and ensuring all credentials and permits remain current.
Essential Functions and Responsibilities:
- Coordinate all agency licensing activities, including completing applications for new states and renewals for existing licenses; gather required documentation and manage associated payments.
- Manage investigator licensing, including new applications, renewals, and terminations; ensure all prerequisites and payments are completed accurately.
- Track and coordinate continuing education requirements for investigatorsin accordance withstate regulations, including scheduling and payment processing.
- Obtain and renew bonds as directed by management.
- Perform data entry and reconciliation across internal systems used to track licensing, including case management platforms.
- Prepare and file annual reports asrequired.
- Complete andsubmitCertificates of Authority for new state registrations as directed.
- Obtain and renew business licenses in required states.
- Maintain and update licensing dashboards to ensureaccuratetracking and reporting.
- Stay informed of current statutes, rules, and regulatory requirements across all states of operation.
- Maintain records for vendors and contractors, including licenses and Certificates of Insurance (COIs).
- Respond to licensing-related inquiries fromemployees, managers,vendorsandother stakeholdersin a timely manner.
- Troubleshoot issues with licensing boards and online systems, providing support to investigators as needed.
- Delivera high levelof customer service in all HR-related interactions.
- Collaborate with internal departments, including Operations, Finance, and IT, to support HR processes and organizational initiatives.
Position/Type/ Expected Hours of Work:
This is a full-time on-site position based in Kannapolis, NC and core hours of work and days are Monday through Friday 8:00 a.m. to 5:00 p.m.
Qualifications:
- Bachelor’s degree in Business Administration, Criminal Justice, Human Resources, or a related field preferred (or equivalent work experience).
- 2–5 years of experience in licensing, compliance, administrative support, or a related field.
- Experience working with regulatory agencies, multi-state licensing, or within a private investigation, legal, or security environment is a plus.
Skills and Abilities:
- Strong understanding of licensing processes, regulatory compliance, and documentation requirements.
- Familiarity with multi-state licensing requirements and continuing education tracking is highly desirable.
- Excellent organizational skills with the ability to manage multiple deadlines and priorities.
- High attention to detail and accuracy in recordkeeping and data entry.
- Proficiencyin Microsoft Office (Excel, Word, Outlook) and experience with database or case management systems.
- Ability to research and interpret state statutes, rules, and regulatory updates.
- Strong written and verbal communication skills.
- Ability to work cross-functionally with internal departments such as HR, Operations, Finance, and IT.
