Property Manager – Collections Specialist

Position Summary
Advantage Property Management is seeking a highly organized, detail-oriented, and results-driven Property Manager – Collections Specialist to join our growing team. This position plays a critical role in managing delinquent tenant accounts, rent collections, payment arrangements, legal coordination, and maintaining positive communication with residents while protecting our property owners' investments.
The ideal candidate is professional, confident, organized, and able to manage a high volume of accounts while ensuring compliance with company policies and applicable landlord-tenant laws.
Key Responsibilities
- Manage a portfolio of delinquent tenant accounts from initial late payment through resolution.
- Contact residents regarding outstanding balances through phone calls, email, text messaging, and written correspondence.
- Negotiate and document payment arrangements while following company guidelines.
- Prepare, review, and process collection-related documentation, notices, and legal paperwork.
- Coordinate with attorneys, courts, constables, and third-party vendors throughout the eviction and collections process.
- Maintain accurate account notes, communication history, and documentation within the property management software.
- Track critical deadlines, court dates, payment plans, and legal milestones.
- Work closely with Property Managers, Leasing Specialists, and Maintenance Coordinators to resolve account issues efficiently.
- Ensure all collection activities comply with federal, state, and local landlord-tenant regulations.
- Assist with owner reporting, delinquency reporting, and account reconciliation.
- Monitor outstanding balances and recommend appropriate collection strategies.
- Maintain strict confidentiality of resident and owner information.
- Provide exceptional customer service while balancing empathy with firm collection practices.
Qualifications
- 1–3 years of experience in property management, collections, legal administration, or a related field preferred.
- Experience with rent collections, delinquent accounts, or eviction processes is highly preferred.
- Knowledge of Tennessee and/or Mississippi landlord-tenant procedures is a plus.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with property management software such as AppFolio is preferred.
- Excellent organizational skills with exceptional attention to detail.
- Ability to prioritize and manage a high volume of accounts simultaneously.
- Ability to maintain professionalism in difficult conversations.
- Strong problem-solving and decision-making skills.
